Program Manager

Position Summary The Program Manager leads Rocksolid’s day-to-day teen programming and creates a safe, structured, welcoming, and engaging experience for youth. This position oversees daily program operations, activities, staff assistants, volunteers, transportation, parent communication, teen support, camps, attendance, and program outcomes. The Program Manager works closely with the Executive Director to carry out organizational priorities and maintain consistent program policies and procedures. Essential Duties and ResponsibilitiesProgram Planning and Daily Operations Develop and maintain the annual program calendar, daily activity schedule, and plans for camps, field trips, and special program experiences. Plan and lead engaging, age‑appropriate activities aligned with Rocksolid’s mission and positive youth development approach. Manage daily opening, closing, setup, cleanup, supplies, snacks, meals, check‑in, check‑out, attendance, and parent authorization procedures. Create opportunities for teen leadership, youth voice, feedback, and meaningful participation. Maintain accurate activity, permission, attendance, transportation, and program participation records. Teen Safety, Support, and Behavior Management Create an environment where teens are treated with dignity, fairness, consistency, and respect while maintaining clear expectations and healthy boundaries. Monitor teen behavior, use appropriate de‑escalation strategies, respond to concerns, and support positive youth development. Review registration information regarding IEPs, 504 Plans, disabilities, medical, behavioral, sensory, communication, mobility, or other support needs that may affect participation. Work with families and the Executive Director to develop support, accommodation, behavior, and safety plans when needed. Document behavioral, medical, transportation, and safety incidents promptly; communicate serious concerns to parents and the Executive Director. Lead immediate emergency response during program hours and ensure staff readiness through established safety procedures and drills. Staff, Volunteer, and Transportation Leadership Recruit, interview, onboard, schedule, supervise, coach, and evaluate Staff Assistants in coordination with the Executive Director. Recruit, orient, train, schedule, and supervise program volunteers and interns. Assign daily roles, provide clear direction, model professional conduct, and ensure appropriate adult coverage and supervision ratios. Develop school pickup routes and transportation schedules and coordinate approved drivers and van coverage. Ensure transportation lists, emergency contacts, permissions, vehicle capacity, and parent communication are complete before pickups or outings. Report performance concerns, vehicle issues, facility hazards, maintenance needs, or significant safety concerns to the Executive Director. Parent, School, and Community Communication Serve as the primary contact for routine parent questions regarding attendance, activities, behavior, transportation, camps, and daily program matters. Communicate clearly, professionally, and compassionately while maintaining confidentiality and appropriate boundaries. Coordinate school outreach and student recruitment and maintain relationships with counselors and frontline school staff. Coordinate teen stories, displays, performances, or program participation at fundraising and community events as requested. Refer complaints, legal concerns, media inquiries, major partnership requests, and sensitive organizational matters to the Executive Director. Program Outcomes and Organizational Coordination Collect teen feedback, program stories, participation data, and outcome information that demonstrate program quality and impact. Track program goals, identify trends and barriers, and recommend opportunities for program improvement. Prepare timely program updates and reports for the Executive Director and, when requested, the Board of Directors. Coordinate with the Assistant Director to ensure program forms, records, calendar information, and communications are complete and organized. Participate in staff meetings, planning, training, community events, and other duties consistent with the role. Required Qualifications At least two years of experience working directly with middle school or high school youth in a structured program setting; supervisory or lead experience strongly preferred. Demonstrated ability to plan engaging activities, manage groups, establish consistent expectations, and respond calmly to challenging behavior or emergencies. Strong communication, organization, documentation, judgment, relationship‑building, and follow‑through skills. Ability to work collaboratively with teens, families, staff, volunteers, schools, community partners, and organizational leadership. Proficiency with common digital tools for scheduling, attendance, forms, documents, email, and program reporting. Commitment to Rocksolid’s mission; successful background check; valid driver’s license and acceptable driving record. Must meet Rocksolid requirements when operating organization vehicles. Current First Aid/CPR certification, or ability to obtain certification within the timeframe established by Rocksolid. Preferred Qualifications Associate or bachelor’s degree in youth development, education, social services, recreation, nonprofit management, or a related field; equivalent relevant experience will be considered. Experience supervising staff, interns, or volunteers in a youth‑serving nonprofit, school, church, recreation, or community organization. Experience supporting youth with behavioral, medical, disability, sensory, communication, or accommodation needs. Experience coordinating school transportation, camps, field trips, or community‑based youth activities. Physical and Scheduling Requirements This active, youth‑and‑community‑based position requires regular supervision of teens in indoor, outdoor, gym, transportation, and field‑trip settings; effective in‑person and electronic communication; frequent standing and movement throughout program spaces; and occasional lifting or movement of program materials or supplies weighing approximately 25 pounds. The anticipated start date is mid‑August 2026. The regular schedule is approximately 25 hours per week, generally five hours per day Monday‑Friday during afternoon and early evening program hours, with occasional adjusted hours for camps, field trips, meetings, or special events.
