Position Summary

Phoenix Staff is seeking a Project Coordination Specialist to support a large-scale enterprise technology transformation initiative. This opportunity is ideal for an early-career project professional with experience assisting system deployment efforts and managing project administration activities. The selected individual will work alongside senior project leadership to help coordinate deliverables, maintain project organization, and support communication across multiple stakeholder groups.

The initiative is currently progressing through testing and deployment activities and will continue through end-user readiness, production launch, and post-implementation support. This role will play a key part in ensuring project milestones, documentation, and communication efforts remain aligned throughout the program lifecycle.

Key Responsibilities

• Provide administrative and coordination support for a large enterprise technology deployment initiative.
• Organize project meetings, prepare agendas, document discussion points, and track follow-up actions.
• Maintain project artifacts including schedules, status updates, risk and issue logs, meeting records, and related documentation.
• Monitor project milestones and coordinate with team members to ensure deliverables are completed according to established timelines.
• Support activities associated with multiple implementation stages, including:
• Business validation and testing activities
• End-user readiness initiatives
• Training coordination
• Production deployment planning
• Stabilization and post-launch support
• Assist with communication efforts between business stakeholders, technical resources, and external partners.
• Track project risks, issues, dependencies, and action items, escalating concerns when appropriate.
• Collaborate across functional teams to support successful execution of implementation objectives.
• Ensure project documentation remains accurate, current, and readily accessible.

Required Qualifications

• 1–2 years of experience in project coordination, project administration, or a similar project support capacity.
• Experience supporting technology implementation, software deployment, or business systems initiatives.
• Strong organizational, prioritization, and documentation skills.
• Experience coordinating meetings, maintaining project records, and preparing project status materials.
• Ability to work effectively with both technical and business-focused teams.
• Strong written and verbal communication skills.
• Proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
• Experience utilizing project tracking or project management tools is beneficial.

Preferred Qualifications

• Experience supporting enterprise application initiatives involving ERP, CRM, SAP, or similar business platforms.
• Background working within highly regulated or process-driven industries.
• Familiarity with implementation lifecycle activities including testing, user readiness, deployment, training, and post-production support.
• Exposure to large-scale enterprise transformation programs is preferred.
