HR AssistantThe following are tasks to be performed by the HR Assistant. The duties are not limited to this list. Any additional requirements, changes, or deletions will be at the discretion of the HR Manager. To perform this job successfully, an individual must be able to execute each essential responsibility and duty satisfactorily.SUMMARY: The HR Assistant supports the daily operations of the Human Resources department and performs a various accounting and administrative duties. Working closely with the HR Manager and the Controller, this role helps support the business by maintaining accurate records, communicating with employees and ensuring compliance with company policies and procedures.RESPONSIBILITIES:Reception and Administrative Support:Serve as the first point of contact for visitors, vendors, and employeesGreet guests and direct inquiries appropriatelySchedule conference rooms, interviews, meetings, and company events as requestedCoordinates in-office meals and reception activities as requestedProvides general administrative support to the HR Manager and other departments as neededHuman Resources Duties:Coordinates recruiting activities including posting job openings, scheduling interviews and coordinating candidate communicationsAssists with onboarding activities including preparing new hire paperwork, coordinating background checks and screenings, scheduling orientation, and ensuring all required documentation is completedMaintains employee personnel files and HR records while ensuring confidentiality and accuracyAssists with employee leave administration, including tracking leave requests, maintaining documentation, and coordinating with employees and supervisorsSupports Labor & Industries (L&I) administration, including workers' compensation claims, Stay at Work program participation, Retro program documentation, and OSHA 300 recordkeepingAdministers employee training records and maintains documentation within the company's Quality Management System (QT9)Supports employee performance review processes and other HR initiativesPrepares HR reports, documentation, and compliance records as requested.Maintains confidentiality of employee information and personnel recordsAccounting Job Functions:Completes daily customer invoicing and other routine accounting activities.Assists with Accounts Payable and Accounts Receivable, or any other special accounting projects as assigned.Reconciles monthly Benefit Invoices against monthly enrollment reportsGeneral Expectations:Adapts and modifies as circumstances warrantBuilds and maintains positive rapport, communication and behavior with other Altek employees, management and customers/vendorsDemonstrates safe work habitsEmbraces Altek's Quality Policy to ensure quality to internal and external customersEmbraces Altek's vision, core values, and expected behaviorsQUALIFICATIONS:High school diploma or GED required;Associate or Bachelor's degree in Human Resources, Business Administration, or related field a plusMinimum of three years of experience in Human Resources, Administration, or a related fieldPrevious front desk, reception, or customer service experience preferredWorking knowledge of recruiting, onboarding, personnel records or HR administrative processes and employment practicesFamiliarity or exposure to leave administration (FMLA, PFML, etc.), Labor & Industries (Workman's Comp) processes preferredProficiency in Microsoft Office Suite (Excel, Word, Outlook)Experience with HRIS, payroll, or accounting systems a plusExceptional interpersonal, written, and verbal communication skillsStrong attention to detail with the ability to maintain accurate records and documentationAbility to handle confidential employee and financial information with discretionStrong organizational skills with the ability to prioritize and manage multiple tasksExceptional interpersonal, written, and verbal communication skills with the ability to interact professionally with employees at all levelsSelf-motivated with the ability to adapt and work independentlyPHYSICAL DEMANDSSitting - FrequentlyStanding - FrequentlyWalking - FrequentlyPushing and/or pulling - OccasionallyClimbing - NeverBending or stooping - OccasionallySquatting or kneeling - OccasionallyTwisting or turning - OccasionallyHandling, grasping with one or both hands - OccasionallyTyping - FrequentlyReaching or arm extension - OccasionallyLifting or carrying - OccasionallyTime Spend Indoors: 100%Time Spend Outdoors: 0%Never = 0% Occasionally = 25% Frequently = 75% Constantly = 100%
