Role Overview We are seeking an Office Administrator to support daily office and site operations for an active construction project. This role serves as the central point of coordination for administrative functions, helping to ensure the office runs efficiently while supporting project teams, field staff, and visitors. This is a highly visible role that requires strong organization, communication, and the ability to manage multiple priorities in a fast-paced jobsite environment. Responsibilities
- Manage day-to-day office operations for the project site or field office
- Serve as the first point of contact for visitors, vendors, and project personnel
- Support onboarding logistics including badging, site access, and orientation coordination
- Coordinate office supplies, equipment, and general site needs
- Assist with scheduling meetings, coordinating calendars, and managing conference rooms
- Support timesheet collection, expense tracking, and general administrative reporting
- Maintain organized filing systems (digital and physical) for project documentation
- Assist with document distribution, printing, and tracking as needed
- Coordinate travel, lodging, and logistics for project staff when applicable
- Support communication between project teams, subcontractors, and vendors
- Help maintain a clean, organized, and professional office environment
- Assist leadership team with ad hoc administrative tasks as needed
- 2-5+ years of experience in an administrative or office support role
- Prior experience in construction, engineering, or industrial environments strongly preferred
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office (Outlook, Excel, Word)
- Ability to work onsite in a fast-paced, team-oriented environment
- High attention to detail and strong follow-through
- Experience supporting construction field offices or project sites
- Familiarity with tools like Procore, Bluebeam, or similar construction platforms
- Experience coordinating onboarding, badging, or site access
- Comfortable interacting with field teams, leadership, and external partners
