Applied Climate Solutions is a leading HVAC manufacturer’s representative and building automation solutions provider serving building owners, engineers, and contractors throughout Texas.

We are seeking an organized and dependable HVAC Service Resource Coordinator to support our growing service operation. This position plays a key role in coordinating technicians, scheduling service calls, supporting service projects, communicating with customers, and keeping day-to-day service activities organized and on track.

This is an ideal opportunity for someone with experience in HVAC service coordination, dispatching, service administration, or project coordination who understands the demands of a fast-paced service environment and enjoys keeping people, schedules, and projects moving in the right direction.

What You’ll Do

• Coordinate the daily scheduling and dispatching of HVAC service technicians.
• Prioritize and assign service calls, including emergency and same-day requests.
• Serve as a key point of communication between customers, technicians, vendors, and internal teams.
• Monitor technician schedules, job progress, and service completion timelines.
• Create, update, and close work orders using service management software.
• Coordinate warranty claims, parts orders, and required service documentation with manufacturers and vendors.
• Support HVAC service projects by coordinating materials, subcontractors, schedules, and project documentation.
• Assist with preventative maintenance scheduling and customer communication.
• Maintain accurate service reports, invoices, work orders, and project records.
• Help improve service department processes, workflows, and overall organization.
• Communicate professionally with customers, contractors, manufacturers, vendors, and other business partners.
• Assist with warehouse organization and truck inventory management.
• Support refrigerant tracking in accordance with EPA guidelines and assist with safety compliance programs.

What We’re Looking For

• Strong understanding of HVAC service operations and industry terminology.
• Previous experience in HVAC dispatching, resource coordination, service administration, project coordination, or a similar role preferred.
• Ability to coordinate multiple technicians, service calls, and priorities in a fast-paced environment.
• Strong organizational and time-management skills.
• Excellent communication and customer service skills.
• Ability to read and understand work orders, schedules, and technical documentation.
• Experience using service management or dispatch software; BuildOps experience is a plus .
• Strong attention to detail and accurate record-keeping skills.
• Basic warehouse or inventory management experience preferred.
• Ability to work independently while contributing to a team-oriented environment.
• Proficiency with Microsoft Office and standard business software applications.

Education & Licensing

• High school diploma or equivalent required.
• Technical or administrative training related to HVAC, dispatching, project management, or service operations preferred.
• Valid driver’s license required.

Physical Requirements

• Ability to sit for extended periods while performing dispatching and administrative responsibilities.
• Ability to occasionally lift and move materials related to warehouse and inventory activities.
• Ability to visit warehouses, job sites, and service areas as needed.

Compensation & Benefits

Salary: $55,000–$75,000 annually, based on experience and qualifications.
