The EMS Operations Supervisor is a critical leadership position responsible for overseeing the daily operations of EMS crews, managing fleet and inventory, and ensuring the smooth, compliant delivery of emergency medical services. This role involves active leadership, providing operational support, ensuring adherence to safety protocols, and resolving any technical or logistical issues. The EMS Operations Supervisor manages both daytime and nighttime shifts, ensuring that EMS teams are supported and equipped to respond effectively to emergencies and operational challenges. This position demands a strong ability to lead, manage multiple tasks, and respond to high-pressure situations, all while maintaining a focus on patient care and safety.

Role and Responsibilities

Crew Support and Supervision:

• Serve as the primary point of contact for EMS crews during nighttime shifts, providing ongoing support and resolving issues as they arise.
• Ensure that the crew is well-rested and ready to handle the challenges of nighttime operations, including managing fatigue and ensuring high-quality patient care at all times.
• Responded to EMS calls as required to ensure coverage and provided support in dispatch operations as needed

Emergency Standby and Incident Management:

• Be available to respond immediately to emergencies or requests for lift assists during nighttime shifts.
• Ensure that the dispatch and response protocols are followed, and that crews are supported in high-pressure situations, including managing resource allocation during peak demand hours.

Inventory and Stock Management:

• Regularly check inventory levels of medical and operational supplies to ensure that all necessary materials are available for nighttime shifts.
• Restock equipment and supplies as necessary, working with Logistics to ensure timely deliveries and that materials are available for the following shift.
• Coordinate with vendors and internal departments to ensure that stock levels are sufficient to meet operational demand.
• Ensure that all trucks are stocked and cleaned appropriately
• Ensure office is kept clean and free of any OSHA violations

Technical Support and Device Management:

• Provide support to crews with technical issues related to electronic devices used in EMS operations, such as mobile data terminals and communication devices.
• Relay any unresolved technical issues to the IT department, ensuring that devices are fully functional for the next shift.

Billing and Documentation Review:

• Ensure that all billing documentation, including face sheets, PCS forms, and patient transport records, are accurately completed and submitted for processing.
• Review patient care reports (PCRs) for accuracy, ensuring that all necessary documentation follows company standards and regulations.
• Work with the billing department to resolve any discrepancies and follow up on any missing or incomplete forms.

Accident and Incident Reporting:

• Manage the documentation and reporting of any accidents, injuries, or operational incidents that occur involving EMS crews, ambulances, or equipment.
• Responsible for first reporting and PC 365 on all accidents and employee injuries.
• If assigned to AIRC they will Investigate incidents and accidents, conducting root cause analysis to identify potential safety risks and implement corrective measures under the direction of the Compliance/Risk Manager.
• Ensure that all reports are completed in a timely manner and Submitted to Compliance and risk manager

Scheduling Support and Adjustments:

• Assist the Scheduling Coordinator with scheduling issues and adjustments during the nighttime shift.
• Ensure that crews are properly assigned and that shifts are covered appropriately, especially in the event of last-minute changes or call-outs.

Missing Paperwork and Documentation Follow-up:

• Track and follow up on any missing or incomplete paperwork, including patient care records, billing forms, and compliance documentation.
• Ensure that all required paperwork is submitted before the end of the shift and that any discrepancies are addressed promptly.

Qualifications and Education Requirements

• Required: Experience in EMS operations or related field, including hands-on experience as an EMT or Paramedic
• Required: High school diploma
• Certifications:
  • Current EMT or Paramedic certification (or equivalent) required.
  • Valid driver’s license with a clean driving record.
  • CPR and First Aid certification required.
  • Ability to pass background checks and meet local, state, and federal regulatory requirements for EMS operations.

Skills & Competencies:

• Strong leadership and communication skills with the ability to motivate, guide, and mentor teams effectively.
• Ability to manage and prioritize multiple tasks, balancing operational needs with real-time decision-making during high-pressure situations.
• Expertise in EMS protocols, fleet management, narcotics regulations, and inventory control.
• Proficiency in the use of EMS-related software (e.g., electronic patient care reporting systems, dispatch software, fleet tracking systems).
• Ability to work autonomously and collaboratively with other departments (e.g., IT, Logistics, HR) to ensure smooth operations. · Completion of FTO online training.
• Completion of a Geriatric Emergency Patient Care Class (GEMS or equivalent).
• Complete an EMS Safety course (EMS Safety or an equivalent).
• Complete accident and injury reporting
• Maintain a driver score of 90 or higher.
• Keep attendance and occurrence points to 5 or fewer.
• Hold an EVOC instructor certification and be a cleared EVO, with no infractions (at fault accident) in the past year.
• Hold CPR instructor certification
• Hold ACLS, PALS instructor certification (Paramedic Only)
• ZOLL Impact Vent training (Paramedic Only)
• Mechanical Ventilator Management (Paramedic Only)
• Complete STABLE
• Complete a Trauma Course (PHTLS or similar)

Working Conditions

• Work performed in a variety of settings, including ambulances, hospital locations, and the office.
• Regular interaction with EMS staff, healthcare partners, and administrative departments.
• The position requires flexibility for both daytime and nighttime shifts to ensure continuous operational support.
• Assist with additional tasks as directed.
• Hours: Rotating 3 on 3 off from 6am-6pm night shifts.
• Flexibility to work during both daytime and nighttime shifts as needed

Preferred Skills

• Ability to lift and carry medical equipment, supplies, and patients
• Ability to stand, walk, or sit for extended periods and respond to emergencies requiring physical exertion.
