Operations Director

About the Role Vanguard Landing is seeking a practical, organized, and dependable Operations Director to oversee the daily care and functioning of our buildings, grounds, vehicles, equipment, supplies, and operational systems. This is primarily a hands-on facilities and maintenance management position. The Operations Director must be comfortable completing routine repairs and everyday tasks directly, recognizing when a licensed or specialized contractor is required, and following outside work through to satisfactory completion. This is not a CFO or finance position, and it does not provide clinical supervision, direct resident services, or Individual Support Plan oversight. Key Responsibilities Serve as the primary coordinator for campus maintenance, repairs, grounds, equipment, supplies, and basic technology needs. Complete routine hands-on tasks such as changing light bulbs and printer cartridges, assembling or adjusting furniture, troubleshooting equipment, and performing minor repairs within the position’s abilities. Contact and coordinate qualified vendors when specialized work is required. Obtain estimates and approvals, schedule vendor access, explain the work needed, monitor progress, verify that repairs are completed correctly, and address incomplete or unsatisfactory work. Conduct regular walkthroughs of cottages and shared facilities to identify maintenance, safety, supply, cleanliness, and appearance concerns before they become urgent. Maintain a preventive-maintenance calendar and organized records for work orders, repairs, warranties, inspections, vendors, equipment, and fixed assets. Lead facility emergency preparedness, including maintaining emergency plans and supplies and scheduling, conducting, and documenting required fire and evacuation drills. Help staff understand facility-specific emergency procedures and follow identified corrective actions through completion. Coordinate vehicle scheduling, inspections, preventive maintenance, repairs, and related documentation. Monitor routine inventory and supply levels and coordinate purchasing and replenishment within approved authority. Support resident move-ins by coordinating room readiness, furniture placement, maintenance, keys, equipment, and other operational needs. Provide the Executive Director with clear updates regarding priorities, unresolved issues, vendor work, safety concerns, and completed projects. Supervise or coordinate assigned operational staff and contractors as directed by the Executive Director. Perform other facilities and operational duties reasonably related to the position. Able to communicate clearly with staff, residents, families, vendors, and organizational leadership. Willing to assist with practical everyday needs rather than viewing any reasonable operational task as too small. Comfortable working in a growing organization where needs and priorities may change throughout the day. Qualifications Demonstrated experience coordinating facilities, maintenance, vendors, emergency preparedness, or day-to-day operations. Ability and willingness to perform routine hands-on maintenance and minor repairs. Working knowledge of basic building systems, workplace safety, emergency procedures, and preventive maintenance. Strong organizational, communication, problem-solving, and documentation skills. Ability to use basic office technology and maintain organized electronic and paper records. Ability to complete all required background checks, registry clearances, and tuberculosis screening. Experience in a residential, nonprofit, healthcare, disability-services, property-management, or multi-building setting is preferred. Relevant trade training, education, or equivalent practical experience is also preferred. Schedule and Physical Expectations This is a full-time, primarily on-site position. Some flexibility may be required for emergencies, drills, vendor access, special events, or urgent facility needs. The position requires regular walking throughout the campus, bending, reaching, lifting, carrying supplies, using basic tools, and responding promptly to maintenance and safety concerns.
