Position Purpose and Summary
HTM shelters bring people together in close quarters. They sleep in shared rooms, eat from shared kitchens, and use shared bathrooms. Staff work alongside them through all of it. When someone is exposed to blood or a communicable disease, or works a heat wave without relief, the response has to be immediate and it has to be documented.
The Safety Coordinator - Workplace Health owns that response. This role maintains the exposure control plans Cal/OSHA requires, coordinates post-exposure follow-up, supports the organization when a communicable disease moves through a site, and coordinates the health and exposure training that keeps staff protected. It also maintains HTM's regulatory injury and illness records and ensures work-related injuries reach Human Resources in time for a workers' compensation claim to open on schedule.
Regulations call this recordkeeping. In practice it is the reason a staff member who was exposed on Tuesday gets the right follow-up on Tuesday. This role makes that happen every time.
Primary Duties and Responsibilities
Regulatory Injury and Illness Recordkeeping
Maintain Agency Log of Work-Related Injuries and Illnesses.
Complete Injury and Illness Incident Reports within required timeframes.
Maintain injury and illness records for the full retention period required by regulation.
Workers' Compensation Support
Receive reports of work-related injury and illness and notify Human Resources the same business day so the DWC-1 claim form is provided within one working day as required.
Provide supporting documentation to Human Resources for workers' compensation claim handling.
Maintain confidential medical information separately from general personnel records.
Track return-to-work and restriction documentation in coordination with Human Resources.
Exposure Control and Communicable Disease
Maintain the Bloodborne Pathogens Exposure Control Plan and review it annually.
Maintain the Aerosol Transmissible Diseases Exposure Control Plan and review it annually.
Maintain the Heat Illness Prevention Plan covering both outdoor and indoor heat requirements. Monitor site conditions during heat events.
Coordinate post-exposure evaluation and follow-up procedures for affected staff.
Maintain the exposure incident log and Sharps Injury Log.
Support outbreak response and coordinate with the Los Angeles County Department of Public Health.
Maintain standard operating procedures for Operations Team response to occupational health matters.
Health Training Coordination
Source and schedule health and exposure training, including bloodborne pathogens, aerosol transmissible diseases, heat illness prevention, first aid, CPR, and naloxone administration.
Coordinate hepatitis B vaccination offering and declination documentation for staff with occupational exposure.
Coordinate respirator fit testing and maintain fit test and medical evaluation records.
Track training completion and renewal deadlines in coordination with Human Resources and Learning and Development.
Maintain training records and certification files.
Supplies and Site Support
Maintain inventories of personal protective equipment, sharps containers, bloodborne pathogen kits, and spill kits.
Verify biohazard and sharps waste handling and disposal procedures at HTM sites.
Conduct site observations focused on exposure risk, infection control, and heat illness prevention practices.
Enter assigned corrections into the corrective action register and track them to closure.
Program Support and Reporting
Prepare injury, illness, exposure, and training metrics and submit them to the Safety Manager for consolidated reporting.
Refer all incidents requiring investigation to the Risk and Safety Coordinator, Incidents.
Report physical conditions contributing to exposure or heat risk to the Risk and Safety Coordinator, Physical Environment.
Monitor compliance with health and safety policies, procedures, and funder and county contract requirements.
Participate in safety committee meetings.
Support new site openings with infection control and exposure risk review.
Accompany regulatory or public health inspectors during site visits as directed by the Safety Manager.
Perform additional duties as assigned by the Safety Manager.
Skills
Documents injury, illness, and exposure events accurately and within required timeframes.
Maintains regulatory logs that withstand a Cal/OSHA inspection.
Separates confidential medical information from general personnel records in daily practice.
Coordinates post-exposure follow-up with urgency and discretion.
Recognizes when a regulatory clock has started and works backward from the deadline.
Communicates health protocols to staff at varying levels of technical familiarity.
Writes clear factual records that separate observation from recommendation.
Manages competing documentation deadlines across a multi-site operation.
Operates Microsoft Office, Google Workspace, and electronic recordkeeping systems.
Qualifications:
High school diploma or equivalent required.
Associate degree or coursework in occupational health, public health, or a safety-related field preferred.
One to three years of experience in occupational health, infection control, workplace safety, or compliance administration preferred.
Working knowledge of Cal/OSHA recordkeeping requirements and exposure control standards preferred.
Experience handling confidential medical information preferred.
Bilingual in English and Spanish preferred.
Preferred Certifications:
OSHA 10 or OSHA 30
FirstAid / CPR Certification
Safety-related certifications are a plus
Mandatory Requirements:
Background Screening – Employment is contingent upon the successful completion of background checks as required per worksite.
Drug and Alcohol Testing – Candidates must pass pre-employment and ongoing drug and alcohol screenings in accordance with company policy.
Motor Vehicle Record (MVR) Check – For roles requiring driving, employment is contingent upon an acceptable driving record (meeting criteria of HTM’s commercial insurance), a CA drivers license, and proof of vehicle insurance coverage.
Legal Eligibility to Work – Maintain proof of legal authorization to work in the US.
Compliance with Company Policies and HIPAA standards – All employees must comply with company policies, including safety, confidentiality, and conduct standards.
Must have reliable transportation.
Physical, Demands, Environmental Conditions, Equipment

Work Environment
The employee may be in contact with individuals and families in crisis who may be ill, using alcohol and drugs, and who may not be attentive to basic personal hygiene, health and safety practices. The employee may experience a number of unpleasant sensory demands associated with the participants’ use of alcohol and drugs, and lack of personal hygiene. The employee must be ready to respond quickly and effectively to many types of situations, including crisis situations and potentially hostile situations. The noise level in the work environment is usually moderate in an office setting. Sometimes work may become stressful when working under pressure or in crisis intervention.
