Stock Clerk

Overview This position will provide excellent customer service to staff by fulfilling requests for parts, supplies, and materials needed to complete work performed by Public Works or other county departments. The role uses computerized asset management software to order, receive, and issue parts, supplies, and materials. The employee also responds to after‑hour snow calls or emergency work needs as required. To purchase, receive, store, issue and keep account of inventories, equipment supplies, tools, materials, capital items and other miscellaneous items used in the daily operation of the Ramsey County Public Works department, and to perform related duties as assigned. Key Responsibilities Promote a diverse, culturally competent, and respectful workplace. Maintain computerized inventory of equipment, supplies, parts, tools, oils, gas, lubricants and other miscellaneous items held in the store rooms; create and maintain databases of equipment and supplies by setting fields and properties for tables, and creating data entry forms, and use database to design reports, maintain inventory and monitor the use of supplies; does research, and keep abreast of new software used for computerized inventory, ensure that new software meet the needs of the stock room, and train other Public Works personnel on its use. Receive, record and store equipment, supplies, parts, tools and other miscellaneous items, by checking receipts for proper billing and proper pricing, contacting vendors when errors occur, entering purchases into the computerized inventory system, issuing inventory numbers, establishing rental rates, and notifying Public Works personnel of the availability of the items. Maintain close communication with Public Works staff to provide information on new products, equipment parts, and materials, keep files of products, act as a liaison between vendors and Public Works staff, and evaluate vendors on their ability to provide service, parts, and warranties. Train temporary employees in the stock room on shipping and receiving procedure, inventory distribution and receipt, and use of the computerized inventory system; provides information to contractors completing projects on Public Works building and other facilities. Locate parts in storeroom and issue them to various Ramsey County personnel noting in the computer where item is being used and/or to whom item is being issued; disperse and record all outgoing inventories on the computer daily. Maintain all fuel database computer records, encoding fuel keys, transfer fuel transactions from the fuel management system to fleet management program and prepare computer reports needed for invoicing other departments. Make inventory pickup run to local vendors to expedite equipment repairs, shop maintenance jobs, road maintenance jobs and other requirements. Issue and record, in the computer, Ramsey County inventory numbers on all capital expenditures including furniture, tools and office equipment. Ensure that all inventory, reports and vehicle records are up‑dated daily on the computer and produce computer reports as needed. ESSENTIAL FUNCTIONS 1, 2, 3, 4, 5, 8, 9, 10 Minimum Qualifications – Mechanical Stock Clerk 1 Education: High school diploma or equivalent. Experience: One year in purchasing, storekeeping or warehousing of parts, equipment, tools, materials or supplies, or asset management. Substitution: Equivalent combination of education and related experience. Certification/Licensure: Valid driver’s license for the class of vehicles to be driven. Minimum Qualifications – Mechanical Stock Clerk 2 Education: High school diploma or equivalent. Experience: Two years of experience in purchasing, storekeeping or warehousing of parts, equipment, tools, materials or supplies. Completion of a vocational school program in automotive or truck parts management may substitute for one year of experience. Substitution: Equivalent combination of education and related experience. Certification/Licensure: Valid driver’s license for the class of vehicles to be driven. Salary Range Mechanical Stock Clerk 1 – $27.62 to $35.91 per hour.
