Responsibilities Provide comprehensive independent administrative support to the RWMC and the Radioactive Waste Program. Maintain waste shipment records and facility procedures. Plan, coordinate, and direct office management functions related to technical operations, processes, programs and projects. Prepare reports, memos, letters and other documents using business software. Recommend improvements to operations/processes, solve problems and address issues to enhance work group effectiveness. Read and analyze incoming memos, submissions and reports to determine their significance and plan distribution. Develop and maintain calendar of events and follow‑up actions for the division. Prioritize workflow to complete tasks within established timeframes. Maintain facility and program records in compliance with the Records Management Program as the Records Coordinator. Act as time administrator for approximately 25 RWMC staff. Procure items and services supporting RWMC as a P‑Card holder and a requisition preparer. Answer phones, update phone lists, submit telephone service requests, process badging requests, arrange travel and process expense reports. Act as a communication conduit for the organization by collecting weekly reporting for each project, producing reports, maintaining the manager’s calendar, scheduling resources and distributing information through various management channels. Perform related work as assigned by management. Qualifications Bachelor’s degree in a related field and at least 2 years of professional experience providing a sound working knowledge of administrative policies and procedures, or equivalent training and experience. Knowledge of business and management principles involved in planning, resource allocation, human resources, and coordination of people and resources. Ability to understand implications of new information for current and future problem solving and decision‑making. Use independent judgment, creativity and initiative to resolve problems and ensure requirements are completed efficiently and on time. Apply knowledge of principles, concepts and theory related to professional business discipline/field, employing a systems approach to address issues and define and resolve problems. Compose correspondence and technical reports, and accomplish goals where procedures may not be specific. Exercise discretion and sound judgment in performing work and contribute recommendations for improvement of operations/processes. Observe, receive, and otherwise obtain information from all relevant sources. Highly organized and able to develop specific goals and plans to prioritize, organize, accomplish work and meet deadlines. Excellent interpersonal skills and ability to communicate with people inside and outside the organization, representing the organization to customers, the public, government and other external sources in a tactful, professional, and effective manner while screening and maintaining confidentiality. Develop constructive and cooperative working relationships with others and maintain them over time. Remember extensive policies, procedures, terminology, schedules, personnel and other details. Use software applications needed in the position, including Microsoft Office Suite and general office equipment. Deal with pressure of handling multiple tasks, complaints, frequent interruptions and time constraints. Work schedule: 4/10’s, Monday through Thursday (subject to change). Pre‑placement physical examination, including a drug screen, is required; MSTS has a substance abuse policy that includes random drug testing. Valid driver’s license. Additional Requirements Obtain an HSPD‑12 Personal Identity Verification credential under DOE Order206.2 and NNSA SD206.2. Salary Annual salary range for this position: $65,249.60 – $97,884.80. Starting salary is determined based on market value, candidate education and experience and internal equity. MSTS is an Equal Opportunity Employer.
