Sr eBilling Analyst

The Senior Billing Analyst is a key resource for the client's billing team and will be responsible for all aspects of client billing including bill preparation, daily process administration, research and analysis, troubleshooting, problem resolution, reporting and any special assignments. The position is also responsible for creating budget projections for clients, assisting in some collections, interpreting, and communicating client billing guidelines in support of both client and colleagues and coordinating special billing arrangements.

Responsibilities include:

• Working directly with the client's E-billing Manager on any ad-hoc e-bill related management/client requests
• Responsible for the timely submission of electronic invoices and accruals to clients on monthly basis, overseeing the transition of clients to e-billing, and providing follow-up support to attorneys and clients in all aspects related to electronic billing
• Handling heavy volume of highly complex e-submission assignments for key corporate clients; ensuring all client guidelines, internal protocol, and firm's guidelines are followed during submission process
• Acting as liaison between billing attorney/secretarial staff, and clients' staff assigned to electronic billing by providing expert level subject matter support
• Liaise with billing attorney/secretary, and client representatives in the resubmission of invoices; ensuring corrective action is in place for future submissions
• Populating, maintaining, and updating data for assigned clients in the billing system and clients' external web applications; ensuring all relevant information is updated and correlated in the firm's billing system
• Executing accruals, budgets, and information and data requests
• Working collaboratively with department's supervisor to support e-billing systems by adding/removing user accounts, resetting passwords, assigning proper security levels, entering budgets, status reports, and matter profiles in various sub-systems
• Performing ad hoc analyses of complex client accounts regarding collections, rates, and reduced and rejected invoices
• Providing exemplary support to client partners and Williams Lea supervisors and managers, keeping them fully apprised of statuses and action plans on key issues and problems
• Training new Billing Analysts/Associates
• Providing workflow guidance to more junior team members
• Serving as value-added subject matter expert and support resource for billing staff
• Ensuring the team is current on relevant billing topics and activity
• Collaborating with other financial colleagues to resolve issues and ensure optimal execution of departmental responsibilities
• Communicating issues and resolutions timely, effectively, and professionally
• Serving as back up to fellow team members, as appropriate
• Proactively recommending process and procedural enhancements including but not limited to documenting processes and improvements
• Assisting with updating documentation relating to billing arrangements and processes.
• Interacting with clients in person, over the phone or electronically with care and professionalism
• Completing special projects as assigned
• Adhering to Williams Lea policies in addition to client site policies
• Performing daily departmental duties as assigned

Qualifications include:

• Associate's or bachelor's degree preferred with concentration in Business, Accounting, or Finance. Commensurate experience may be considered in lieu of education, based upon candidate's overall employment history
• Strong analytical and critical thinking skills
• Minimum four years of e-billing experience in a law firm or professional organization required. Five years or more preferred.
• Hands on familiarity with multiple e-billing vendor systems and outside counsel guidelines.
• Must be a team player with strong interpersonal skills
• Superior customer service and a demonstrated ability to work in challenging and dynamic environment
• Self-directed with a strong work ethic; capable of working independently with limited supervision
• Ability to work outside of established business hours and adjust personal schedule to meet deadlines is required
• Ability to multitask and meet stringent deadlines in a fast-paced work environment.
• Excellent organizational and time-management skills.
• Demonstrated proficiency with Microsoft Office products, MS Excel, including advanced features such as pivot tables, graphs, formulas, macros
• Experience working with client Document Management Systems (DMS)
• Ability to create spreadsheets, manipulate data and generate reports
• Detail oriented with excellent organizational and time-management skills
• Excellent verbal and written communication skills with ability to effectively present results to senior management
• Ability to perform well in cross-functional environment and to interface effectively and successfully with senior management, vendors, and client staff
• Ability to professionally handle matters of a sensitive nature with confidentiality
• Experience with Aderant or Elite/Elite 3E and/or business intelligence products strongly preferred
• Ability to work overtime as needed during peak or critical periods
• Ability to maintain the highest level of confidentiality

The salary range for this role at the noted RRD location is $25/hour to $36.97/hour. Starting pay decisions are determined based on multiple factors including but not limited to relevant education, qualifications, skills, experience, certifications, proficiency, performance, shift, location, and other business needs. Typically, roles follow step progressions to a target rate or set increments over time. Depending on the role, in addition to the hourly rate of pay, the total compensation package may also include overtime, shift differential, call-in, and/or stand-by pay.
