Senior Advancement Coordinator, Major Gifts, School of Law New Orleans, LA, United States Job Description The Senior Administrative Program Coordinator is an administrative position that provides travel and administrative support to frontline officers for advancement-related activities. The position assists with the coordination of program events, Deans’ Advisory Council and Alumni Association meetings and other special projects. The Senior Administrative Program Coordinator works closely with other departments within Advancement including other Major Gifts teams, Gift Planning, Stewardship, Corporate & Foundation Relations, Alumni Relations, Advancement Communications, and other departments throughout the university. Responsibilities Supports the day-to-day operations and provides administrative aid for the unit as directed by the Senior Program Manager. Arranges and coordinates update meetings with team members and others as needed. Prepares monthly, or as needed, giving reports for Dean and School-based Director. Assists frontline officers with trip planning support including, but not limited to, running various lists and reports, preparing meeting materials, ensuring research materials on prospects and development packets are produced and communicated for meetings in which officers are staffing the dean, and assisting with travel arrangements. Ensures gifts are properly accounted for and that donors are receiving proper stewardship. Maintains proper inventory levels of supplies and development collateral. Maintains and organizes all program hard copy and electronic files. Assists frontline officers with the coordination and implementation of events, including, but not limited to Deans/Directors Advisory Committee meetings, homecoming meetings, regional out-of-state events, and parent and campaign related regional activities. Attends meetings, serves as a resource to volunteers and other attendees, coordinates presentations and other event needs on-site. Reaches out directly to alumni volunteers regarding event logistics, RSVPs, and other updates. Plays primary role in collaborating with front-line officers in individual stewardship strategies and execution of events designed for stewardship (like e.g. Celebration of Scholarships). Processes trip expenses and reimbursements in Concur for team members. Assists Senior Program Manager in tracking and reconciling the program budget, especially as it relates to officer travel and entertainment expenses. Provides prospect management support services. Collaborates with frontline officers and Managing Director of Development to ensure pipeline reports and prospect management information such as entering contact reports, strategies and pass offs are accurately documented in the Advance database. Supports major gift officers in achieving giving goals and other metrics. Monitors CRM reports and notifies officers of stewardship opportunities. Assists in tracking goal progress and officer activity and maintaining reliable predictive and projection data. Monitors monthly pipeline updates and runs all associated and requested reports. Qualifications REQUIRED EDUCATION AND EXPERIENCE: High School Diploma and 3‑years related/transferable experience, or bachelor’s degree Any appropriate combination of relevant education, experience, and/or certifications may be considered. REQUIRED KNOWLEDGE, SKILLS, ABILITIES/COMPETENCIES TYPICALLY NEEDED TO PERFORM THIS JOB SUCCESSFULLY: Strong oral, written, and interpersonal skills required. Excellent organizational skills, including the ability to manage multiple demands and multiple projects under tight deadlines. Proficient in MS Office applications (Word, PowerPoint, Excel, Access) Demonstrated ability to pay attention to detail and keep projects on task meeting and exceeding timeline expectations. Ability to work occasional nights and weekends. PREFERRED QUALIFICATIONS: Some college and 2‑years direct experience; or bachelor’s degree and 1+ years transferable experience. Knowledge of university fundraising.
