Position Summary

The Finance Director oversees Muslim Aid USA's financial operations, ensures compliance with nonprofit accounting standards, and maintains the integrity of the organization's financial records. The Finance Director provides leadership and oversight across the full finance function - from transactional accounting through strategic financial planning - and ensures the Finance team delivers accurate, timely financial information to program staff, leadership, and the board. The Finance Director reports to the COO and performs the responsibilities below.

Key Responsibilities

Financial Reporting & Recordkeeping

• Ensure accurate financial records are maintained in QuickBooks, including oversight of daily transactions and the month-end close process.
• Ensure timely preparation of weekly, monthly, quarterly, and annual financial reports, including Statements of Financial Position, Statements of Activities, and Cash Flow Statements.
• Ensure compliance with Generally Accepted Accounting Principles (GAAP) and nonprofit financial reporting standards across all financial reporting.
• Oversee preparation and posting of journal entries; ensure data integrity and security within financial systems.

Banking, Reconciliations & Internal Controls

• Ensure monthly bank reconciliations are completed accurately and on time for all deposit accounts.
• Oversee reconciliation of credit card statements and ensure all transactions are accurately recorded.
• Ensure discrepancies in account balances are identified and resolved promptly.
• Develop and implement internal control policies and procedures, and monitor adherence across the finance function.

Accounts Payable & Payroll

• Oversee the full accounts payable cycle and ensure vendor records are properly maintained.
• Collaborate with the HR department to oversee payroll processes.
• Review expense reports for accuracy and proper expense classification.
• Ensure timely reimbursement and proper documentation of expenses.

Accounts Receivable, Donor Revenue & Gift Processing

• Oversee accounts receivable processes, including timely preparation of monthly invoices and maintenance of donor records.
• Collaborate with program personnel to ensure accurate project invoicing.
• Ensure timely acknowledgment letters are sent to corporate donors, including donation amount, date received, and a statement regarding any goods or services provided.
• Coordinate the issuance of annual donation receipts with the Salesforce admin to all donors by January 31 of the following year, ensuring compliance with IRS requirements for contributions of $250 or more.

Budgeting & Financial Strategy

• Lead in developing the annual budget with the COO and the Program Director.
• Monitor budget performance and provide regular updates to board members.
• Provide financial insights and recommendations to support strategic planning and decision-making.

Audit, Tax & Regulatory Compliance

• Ensure compliance with all applicable financial regulations and reporting requirements.
• Oversee preparation for annual audits by ensuring financial records and documentation are organized and complete.
• Ensure preparation and submission of Form 1099 for all service providers receiving over $600.
• Ensure accurate and timely filing of all tax-related documents, including IRS Form 990 and other required filings.
• Familiarity with compliance considerations for international disbursements (e.g., OFAC screening) is a plus; this function may be supported by a dedicated compliance role at MAUSA.

Board & Finance Committee Support

• Support the Finance Committee by preparing meeting materials and presenting financial information.
• Assist in board member orientation related to financial responsibilities and understanding financial reports.

Investments & In-Kind Donations

• Oversee the recording of stock and investment sales, ensuring gains or losses are recognized in accordance with GAAP and reported accurately and on time in financial statements.
• Oversee brokerage and investment accounts, including recording of transactions, tracking of investment performance, and proper asset and income classification.
• Coordinate with Saturna to obtain necessary documentation and statements for accurate recordkeeping and reporting.
• Ensure proper documentation is maintained for all in-kind donations, including donor correspondence, valuation methods, and usage within the organization's programs.
• Oversee the recording of in-kind donations, including medical supplies, equipment, and pharmaceuticals.

Online Giving Platforms & Reconciliation

• Oversee reconciliation of income received through various online and third-party donation platforms, including but not limited to the organization's website, mailer campaigns, Benevity, LaunchGood, FrontDoor, PayPal, Stripe, Paya-Virtual, and Square.
• Ensure that all transactions from these platforms are accurately recorded, categorized appropriately, and reconciled with bank deposits.

People Management

• Ensure the proper division of work across the Finance team, delegating responsibilities appropriately given each team member's distinct function.
• Coach, train, and empower Finance team members, building team capacity and supporting professional growth.
• Train non-finance staff across the organization on relevant finance systems, tools, and compliance expectations.
• Build cross-training and documented processes so that core finance functions continue uninterrupted during absences (e.g., vacation, travel, professional development).

Qualifications

Education & Experience

• Bachelor's degree in Accounting, Finance, or a related field required; CPA, CMA, or CNAP (Certified Nonprofit Accounting Professional) preferred.
• Minimum of 7+ years of progressive accounting/finance experience required including meaningful experience in a nonprofit or mission-driven organization. Demonstrated technical accounting competence - the ability to prepare and interpret financial statements accurately - is the top-priority qualification for this role.
• Nonprofit-sector experience is required, including fluency in restricted vs. unrestricted fund accounting.
• Prior experience managing full-cycle accounting (AP, AR, payroll coordination, reconciliations, and financial reporting) in an organization of comparable size and complexity.
• Experience preparing for and supporting external financial audits and IRS Form 990 filing.
• Experience managing, coaching, and developing a finance team, with a demonstrated focus on building team capacity and continuity.
• Experience operating in a startup, early-stage, or fast-evolving organizational environment - building or strengthening systems and processes with limited pre-built infrastructure - is strongly preferred.

Knowledge, Skills & Abilities

• Strong working knowledge of GAAP and nonprofit fund accounting (ASC 958), including net asset classification.
• Proficiency in QuickBooks required; familiarity with Salesforce (or a comparable CRM) strongly preferred.
• Advanced Microsoft Excel skills; ability to build and maintain complex budget and reporting models.
• High degree of accuracy and attention to detail, with strong organizational and time-management skills.
• Excellent written and verbal communication skills, including a demonstrated ability to translate financial data into clear, accessible narratives for non-finance audiences (board members, program staff, donors).
• Comfort building and adapting systems in a growing, evolving nonprofit environment; adaptable and resourceful, with the ability to operate effectively without extensive pre-built infrastructure.
• Sound judgment and discretion in handling confidential financial and donor information.
• Preferred: familiarity with international program and/or domestic U.S. program finance, and with compliance considerations for international disbursements (e.g., OFAC).

• This role is generally performed in a standard office environment; specific on-site/remote expectations to be confirmed with MAUSA.
• Occasional travel may be required for board, audit, or program-related meetings - frequency to be confirmed with MAUSA.

Preference is given to Fairfax, VA (and surrounding areas) applicants to conform to our hybrid model, which requires a minimum of 3 days per week in the office.
