Sales Assistant

Position Sales Assistant Summary This position is responsible for supporting sales operations and providing customer service by handling sales order processing, coordinating domestic and international shipments, and assisting with import/export and administrative activities. The Sales Assistant works closely with customers, vendors, freight forwarders, and internal teams to ensure smooth daily operations and timely delivery of products and services. Essential Duties Sales Support Respond to customer and supplier inquiries via phone, email, and fax in a professional and timely manner. Prepare quotations, sales documents, promotional materials, and translations between English and Japanese as needed. Assist with sales activities, marketing efforts, trade shows, travel arrangements, and industry research. Sales Administration Process sales orders, purchase orders, invoices, and related documentation. Enter and maintain sales data in Microsoft Great Plains. Prepare monthly sales and inventory reports and assist with inventory control and audits. Import/Export & Shipping Coordination Arrange domestic and international shipments with freight forwarders and carriers. Prepare and verify shipping documents and ensure compliance with customs and trade regulations. Track shipments, resolve delivery issues, maintain shipping records, and coordinate with customers, vendors, and sales staff. Office Administration Answer phones, manage mail and office supplies, greet visitors, and support general office operations. Coordinate company events, seasonal gifts, and administrative databases. Report operational issues and suggest process improvements to management as needed. Bilingual in English and Japanese, both verbal and written; Spanish is a plus. Ability to read, analyze, and interpret business documents, contracts, forms, and instructions. Strong mathematical skills, including the ability to calculate discounts, interest, commissions, percentages, proportions, area, circumference, and volume. Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Great Plains; able to create custom reports as needed. Strong organizational and multitasking skills with the ability to meet deadlines in a fast-paced environment.
