Fleet Operations Specialist

The Fleet Operations Specialist supports the daily operations, administration, and continuous improvement of ECA’s fleet program. This position assists with vehicle and trailer tracking, maintenance coordination, reporting, technology implementation, asset management, and fleet process development. The ideal candidate is highly organized, technology-driven, and capable of developing systems and processes that improve efficiency, accountability, and scalability within the fleet department. This role combines operational support, data management, technology utilization, and hands‑on fleet assistance, and is designed as a developmental role with long‑term advancement opportunities intended to help build future leadership within the fleet department. Maintain vehicle and trailer assignment records. Coordinate vehicle transfers, assignments, and replacement activities. Support fleet asset tracking and inventory management. Maintain accurate vehicle, trailer, and asset records. Maintenance Coordination Coordinate vehicle and trailer maintenance with approved vendors. Schedule and track preventive maintenance activities. Maintain repair histories and service documentation. Monitor vehicle and trailer downtime. Assist with replacement planning and lifecycle management of fleet assets. Fleet Systems & Technology Develop and improve fleet tracking systems utilizing Microsoft Excel, SharePoint, Microsoft Lists, Power BI, Samsara, and other fleet technologies. Maintain fleet databases and reporting tools. Create dashboards, reports, and performance metrics. Assist with implementation of new fleet technologies and asset tracking programs. Identify opportunities for automation and process improvements. Support the department’s transition toward more technology‑driven fleet management systems. Reporting & Analytics Track fuel usage, fleet utilization, maintenance costs, and asset performance. Prepare monthly fleet reports and KPI dashboards. Analyze trends and provide recommendations for operational improvements. Assist with budgeting and fleet planning initiatives. Vehicle & Asset Support Conduct vehicle and trailer inspections. Assist with vehicle preparation for assignment, transfer, and replacement. Maintain vehicle cleanliness and appearance standards. Coordinate vehicle washing, detailing, and general fleet presentation. Install and maintain fleet technology devices, including cameras, GPS units, and monitoring equipment. Perform minor maintenance tasks such as windshield wiper replacement, battery replacement, tire changes, light replacement, decal installation, and other basic vehicle support activities. Assist with vehicle pickups, deliveries, and fleet logistics as needed. Compliance Support Assist with DOT-related compliance requirements and fleet documentation. Support vehicle registrations, licensing, inspections, and record keeping. Maintain fleet files and compliance records. Assist with driver qualification and fleet compliance tracking programs. What We’re Looking For Required Strong proficiency in Microsoft Excel and Microsoft Office Suite. Strong organizational, analytical, and problem‑solving skills. Ability to manage multiple projects and priorities simultaneously. Strong written and verbal communication skills. Valid driver’s license with acceptable driving record. Ability to work both in an office environment and around fleet vehicles and equipment. Preferred Experience in fleet operations, logistics, construction operations, transportation, or asset management. Experience with Microsoft Power BI, SharePoint, Microsoft Lists, and reporting platforms. Experience with telematics systems such as Samsara. Familiarity with DOT regulations and fleet compliance requirements. Experience building reports, dashboards, databases, or operational tracking systems. Basic mechanical aptitude and understanding of vehicle maintenance concepts .
