Position Overview
The Transportation Supervisor is a hands-on operational leader responsible for overseeing the full cycle of transportation and dispatch activities in a fast-paced, flight-sensitive environment. This role coordinates drivers, driver helpers, dispatchers, guides, dock personnel, vehicles, and equipment to ensure safe, efficient, and on-time flight service.
The ideal candidate thrives under pressure, makes sound decisions in real time, and leads with authority, professionalism, and composure. This individual will take ownership of operational results, staffing coverage, overtime management, safety compliance, and continuous improvement while maintaining strong working relationships across the operation.
Responsibilities
- Oversee daily transportation, dispatch, dock, ramp, and logistics activities to ensure safe, efficient, and on-time flight service.
- Monitor active flights and operational activity in real time, identify at‑risk departures, and initiate immediate corrective action when delays or service disruptions occur.
- Ensure drivers have confirmed flight assignments and that all required dispatch system entries are completed before the estimated time of departure.
- Coordinate closely with dispatchers, drivers, driver helpers, guides, dock personnel, airline representatives, and internal departments to maintain service quality and delivery schedules.
- Lead shift briefings, communicate operational priorities, and ensure employees understand their assignments, responsibilities, and safety expectations.
- Provide direct, hands‑on supervision during peak operational periods and redistribute resources as needed to address bottlenecks, staffing shortages, and delayed flights.
- Manage shift handoffs and ensure accurate communication regarding flight activity, staffing, vehicles, equipment, delays, incidents, and outstanding operational concerns.
- Plan, prepare, and publish employee schedules while ensuring appropriate staffing coverage based on operational and flight demands.
- Manage callouts, absences, leave requests, and schedule changes proactively to minimize disruption to the operation.
- Monitor employee hours and overtime daily, adjust staffing to reduce unnecessary overtime, and report trends or concerns to management.
- Supervise, train, coach, and develop drivers, driver helpers, dispatchers, guides, and dock personnel.
- Monitor individual and team performance, reinforce established procedures, provide constructive feedback, and address performance concerns promptly.
- Foster a respectful, professional, and accountable work environment while addressing interpersonal conflicts fairly and constructively.
- Verify that vehicles are inspected, properly fueled, roadworthy, and available before operations begin.
- Coordinate vehicle and equipment assignments based on flight schedules and operational requirements.
- Maintain accurate records of vehicle usage, inspections, availability, condition, driver logs, delivery activity, and corrective actions.
- Address vehicle or equipment malfunctions promptly and coordinate required repairs or maintenance with Fleet Management.
- Oversee the accurate use and real‑time functioning of applicable transportation and dispatch systems, including transportation related software or similar platforms.
- Resolve system errors, blocks, or interruptions during live operations and escalate technical issues when necessary.
- Ensure compliance with DOT, OSHA, airport, airline, Port Authority, TSA, U.S. Customs, hours‑of‑service, traffic, vehicle‑weight, ramp safety, and internal operational requirements.
- Develop, reinforce, and maintain training materials and procedures related to safe vehicle operation, dispatch processes, dock operations, and ramp safety.
- Conduct field observations and coaching to reinforce safe driving practices and operational standards.
- Maintain the dock, ramp, and transportation areas in safe and effective operating condition and report infrastructure or safety concerns promptly.
- Serve as an escalation point for transportation, dispatch, staffing, vehicle, and flight‑service challenges.
- Track operational KPIs, analyze performance trends, identify gaps, and recommend action plans that improve service, safety, efficiency, and departmental results.
- Prepare accurate shift reports, incident documentation, irregularity reports, expedited‑flight logs, and operational updates for management.
- Perform additional duties and responsibilities assigned by the Operations Manager to support departmental and organizational objectives.
Qualifications
- Minimum of three years of transportation, dispatch, logistics, or operations leadership experience, preferably within airline catering, food manufacturing, aviation, or another time‑sensitive environment.
- Bachelor's degree in Transportation, Logistics, Operations Management, Business Administration, or a related field preferred.
- Valid driver's license required.
- Experience supervising large, diverse teams, including drivers, dispatchers, dock personnel, or comparable operational employees.
- Working knowledge of transportation operations, dispatch coordination, ramp safety, DOT requirements, and fleet compliance.
- Experience monitoring flight schedules, delivery timelines, or other time‑critical operations strongly preferred.
- Knowledge of transportation and safety protocols within high‑security environments, such as airports or ports, preferred.
- Strong planning, scheduling, organizational, and decision‑making skills.
- Demonstrated ability to remain composed, act decisively, and resolve operational challenges under pressure.
- Hands‑on leadership style with the willingness to remain visible and actively engaged in field operations.
- Ability to coach, motivate, and hold team members accountable with professionalism, fairness, and tact.
- Strong conflict‑resolution, active‑listening, and interpersonal skills.
- Excellent verbal and written communication skills.
- Ability to analyze performance metrics, monitor overtime, identify trends, and develop corrective action plans.
- Proficiency in Microsoft Office, including Excel, Word, and Outlook. Experience with O2P, dispatch, fleet‑management, or similar operational software is a plus.
- All airport‑related positions require applicants to successfully complete the mandatory airport security clearance process for their assigned location. This includes meeting all TSA and U.S. Customs requirements, as outlined in 49 CFR §1542.209, and obtaining the appropriate airport‑issued identification badge, such as a SIDA, AOA, or equivalent badge, in accordance with local airport authority regulations.
- Ability to remain on foot for extended periods and work in environments with varying temperatures and weather conditions.
- Flexibility to work different shifts, including early mornings, nights, weekends, and holidays, based on operational needs.
