Position Overview The Administrative Assistant will handle the essential day‑to‑day clerical foundation of our firm: managing heavy mail flow, digital archiving, and front‑line communications. In this role, you will work closely with our Legal Assistant on administrative tasks. This is a permanent, part‑time position offering a guaranteed 20 hours per week with excellent scheduling flexibility. We look at this role as more than just a part‑time job; our goal is to invest in the right person, providing mentorship to help grow this position into a potential long‑term career in legal administration. Key Responsibilities Mail & Document Management: Receive, sort, and process a high volume of daily incoming mail. Scan and accurately route documents into our digital filing system. File Maintenance: Keep physical and digital client files meticulously organized and up to date. Communication: Answer incoming phone calls, take detailed and accurate messages, and route inquiries to the appropriate team member. Client & Case Communication: Assist with additional outreach, including professional phone or email communications with clients to share routine updates or request necessary documents. Legal Assistant & Docket Support: Provide administrative backup to the Legal Assistant by handling routine data entry for the firm’s calendar and uploading court notices as directed. Ad Hoc Projects: Handle additional clerical tasks and shifting daily responsibilities as assigned to support the evolving needs of the firm. Qualifications & Skills High Attention to Detail: Essential for managing legal documents, sorting high volumes of mail, and precisely logging dates. Adaptability & Drive: A willingness to take on new tasks, learn on the job, and grow with the firm. Strong Organizational Skills: Ability to prioritize tasks efficiently in a fast‑paced environment. Communication Skills: Professional phone etiquette and clear written communication. Tech Savvy: Proficiency with basic office technology (scanning, digital filing) and willingness to learn legal practice management software. Reliability: Punctuality and consistent attendance are critical to maintaining our daily workflow. Prior experience in a law office or handling legal administrative work is a plus, but we are fully willing to train the right person with a strong work ethic and a desire to build a career.
