Shape the Future of Aerospace Innovation Astronics is looking for an IT Operations Coordinator to play a pivotal role in supporting the strategic and operational success of our Corporate IT department. This position supports vendor management and procurement workflows, and SharePoint content management, while completing assigned IT tickets. The ideal candidate is detail-oriented, highly organized, and capable of cross-functional collaboration. Our team works on a hybrid schedule where we collaborate with peers onsite in East Aurora, NY two days a week, and spend three days working remote. Why consider Astronics? Competitive base salary with quarterly bonus opportunities 9/80 schedule with every other Friday off Enjoy a hybrid schedule 401(k) with company contribution and discounted Employee Stock Purchase Plan Week-long Christmas shutdown and paid holidays What You’ll Do: Maintain and organize contracts, agreements, certificates and other applicable documents Coordinate contract approval and signature process Update vendor contact information, track and organize relevant vendor records for easy reference Maintain and monitor a centralized IT renewal tracker across business units to ensure timely renewals and prevent service disruptions. Partner with vendors and internal stakeholders to ensure deliverables, terms, and renewals align with business needs. Purchasing and Procurement Support: Support purchasing operations for multiple divisions, including credit card purchase processing, track purchase requests through completion Maintain comprehensive purchasing documentation for tracking lists, invoices, renewals, approvals, and audit-friendly records Monitor order and delivery status, track incoming purchase requests and submitted orders to ensure timely fulfillment Administer contracts and licenses for Dell service contracts, software/license purchases, warranty records, and renewal calendars Monitor and process invoices, gather approvals from appropriate stakeholders and route monthly invoices through coordination with Finance/AP Track renewal dates, costs, and payment status, follow up on unpaid or missing invoices Maintain comprehensive invoice records and credit card documentation for audit purposes SharePoint & Knowledge Base Management: Maintain SharePoint pages for all IT related documentation, including policies, vendor documents, notifications and project content Ensure all documents are up-to-date, well-organized, and accessible to relevant stakeholders Organize Knowledge Base articles and technical documentation Ticketing System Support: Track new employee access requests, ensure accurate system access levels Complete relevant SharePoint related tickets Track and send approval reminders to stakeholders Qualifications: Associates degree in Information Technology, Business Administration or equivalent work experience Strong organizational, problem-solving, and analytical skills Excellent written and verbal communication skills Proficiency with Microsoft 365 Ability to manage competing priorities with minimal supervision Preferred Qualifications: Understanding of ITIL concepts and regulatory compliance practices Familiarity with financial and procurement processes Knowledge of vendor management and contract review processes Compensation: Base salary: $50,000 through $60,000, influenced by several factors including experience, skill set, education, certifications, market conditions, and business needs.
