Job Posting Information Posting Number: S15236P Working Title: Prospect Management Specialist Department: DAR-Prospect Management Location of Vacancy: Athens Area Employment Type: Employee, Full Time Benefits: Eligible Salary: $57,200+ (commensurate with qualifications and experience) Proposed Starting Date: 08/01/2026 Job Summary Reporting to the Director of Prospect Management, the Prospect Management Specialist prioritizes and leverages Prospect Management resources to support UGA’s fundraising efforts. This role provides decision and process support, guides practices and procedures, and trains and consults with major gift officers, annual gift officers, leadership officers, and development coordinators. The Specialist promotes the Prospect Management program, directs strategy meetings, produces routine cultivation reports, develops solicitation strategies, conducts portfolio reviews, and oversees monthly interaction review processes, ensuring effective development officer fundraising activity reporting. Responsibilities Prospect Management Outreach – 40% Builds and maintains partnerships with major gift officers and campus stakeholders. Provides insights for prospect strategy through portfolio and pipeline analyses and consultations. Serves as liaison to annual gift officers, leadership officers, and development coordinators. Maintains database hierarchy and oversees scheduling of development officer consultations. Provides analysis and communication of prospect information to stakeholders. Prospect Tracking and Information Management – 30% Assigns prospects to development officers with clearance approval. Reviews campus-wide prospect interactions for database inclusion and report generation. Promotes best‑practice portfolio management across the development community. Analyzes assignment data to identify program enhancement opportunities. Evaluates tracking program strengths and weaknesses, recommending corrective measures. Reviews system reports and provides improvement recommendations. Program and Prospect Analysis – 20% Monitors development officer progress throughout the prospect fundraising cycle. Reinforces Prospect Management policies and promotes awareness of program goals. Provides assignment and post‑assignment analysis recommendations. Responds to high‑priority requests from the Director while adhering to prospect coordination policy. Prospect Management Program Advocacy – 5% Applies knowledge of university priorities, prospect management, and fundraising techniques. Communicates prospect guidelines, policies, and procedures campus‑wide. Adheres to ethical and confidentiality guidelines of the University and APRA. Other Duties as Assigned – 5% Provides expertise and program support to other units. Cross‑trains to support special projects and services. Assists onboarding of new staff. Serves on committees or teams. Participates in professional development opportunities as requested. Minimum Qualifications Bachelor’s degree in a related field or equivalent experience. Preferred Qualifications Three or more years of full‑time professional experience in relationship management, prospect research, development, sales, marketing, business administration, higher education, or project management. Advanced degree in a relevant field. Knowledge of University policies and procedures. Previous development experience or background in a non‑profit or educational institution. Experience with Blackbaud CRM or other fundraising software. Experience using Qlik Sense or other analytics/visualization tools. Knowledge, Skills, Abilities, and Competencies Knowledge of Prospect Management principles and methods. Accurate record keeping and timely reporting. Knowledge of professional fundraising ethics and policies. Maintains confidentiality of sensitive information. Effective oral and written communication.
