Finance and Compliance Administrator (Hybrid)

Summary: The Finance and Compliance Administrator is responsible for managing all regulatory permits, insurance documentation, and financial transactions related to accounts payable and receivable. This role ensures Alaska X remains compliant with local, state, and federal regulations while maintaining accurate financial records and supporting smooth operational workflows. Key Responsibilities: Permits & Compliance: Maintain and renew all necessary business, land use, and operational permits (e.g., National Park Service, U.S. Government, DOT). Track expiration dates and ensure timely submission of renewal applications. Liaise with government agencies and regulatory bodies to ensure compliance. Maintain organized digital and physical records of all permits and licenses. Insurance Management: Coordinate with insurance providers to maintain up-to-date coverage for vehicles, vessels, property, and liability. File and track insurance claims as needed. Ensure certificates of insurance are current and accessible for audits or inspections. Accounts Payable & Receivable: Process vendor invoices and ensure timely payments. Generate customer invoices and follow up on outstanding balances. Reconcile bank statements and financial records. Assist with monthly, quarterly and year-end financial reporting. Administrative Support: Maintain accurate records of financial and compliance documents. Support the finance team with audits, budgeting, and reporting tasks. Assist with other administrative duties as needed to support operations. Qualifications: Associate or bachelor’s degree in accounting, Business Administration, or related field preferred. 2+ years of experience in finance, bookkeeping, or regulatory compliance preferred. Familiarity with permitting processes in Alaska or the tourism industry is a plus. Proficiency in accounting software (e.g., QuickBooks) and Microsoft 365 Strong organizational skills and attention to detail. Ability to work independently and manage multiple priorities. Skills: Accounts Payable/Receivable Management – Proficiency in processing invoices, reconciling accounts, and managing financial records. Regulatory Compliance – Understanding of local, state, and federal permitting processes, especially in tourism or outdoor operations. Insurance Coordination – Ability to manage insurance policies, claims, and renewals. Accounting Software Proficiency – Experience with tools like QuickBooks or similar platforms. Document Management – Strong skills in organizing and maintaining digital and physical records. Attention to Detail – Critical for managing permits, deadlines, and financial accuracy. Time Management – Ability to prioritize tasks and meet regulatory and financial deadlines. Multitasking – Comfortable handling diverse responsibilities across finance and compliance. Problem-Solving – Resourceful in resolving issues with vendors, agencies, or internal teams. Work Environment: Office-based with occasional field visits or interactions with regulatory agencies.
