Central Marketing Support Coordinator

Roles & Responsibilities

• Manage calendars, schedule meetings, and prepare agendas for Central Marketing VPs, ensuring meetings are well-organized and materials delivered on time
• Utilize approved AI tools to draft summaries, communications, and documents; develop reusable prompts to drive consistency and efficiency
• Leverage AI to identify patterns, risks, and opportunities across VP priorities; streamline workflows and automate recurring deliverables
• Maintain structured folders, templates, and version control in Teams and SharePoint, along with a curated library of effective prompts and outputs
• Coordinate cross-functional initiatives, track action items through completion, escalate risks as necessary
• Improve overall speed, quality, and consistency of deliverables

Experience Required

• 1–3 years of experience in an executive assistant, administrative, marketing coordination, or operations support role
• Experience supporting senior leaders or working in a global, matrixed environment-advantageous
• Experience using AI tools for drafting, summarizing, or organizing information (e.g., Copilot-style tools or comparable platforms)
• Exposure to marketing, digital, or commercial environments – helpful but not required
• Experience working in global marketing organizations with multiple business units, regions, and compliance requirements – stands out

Skills & Certifications

• AI tool proficiency for drafting, summarizing, and organizing content
• Ability to follow guidance on ethical and compliant AI use
• Strong organizational and prioritization capability; ability to manage multiple requests and maintain accuracy under pressure
• Clear written communication skills; ability to translate inputs into concise, well-structured emails, summaries, and presentation materials
• High digital proficiency across Microsoft 365 (Outlook, Teams, PowerPoint, SharePoint)
• Disciplined information management (organized files, templates, materials)
• Curiosity and openness to learning new digital tools

Eligibilities & qualifications

• Bachelor\'s degree preferred in business, marketing, communications, or related field; equivalent experience considered
• Ability to balance multiple priorities with practical execution and change adoption
• Collaborative, positive, can-do attitude with strong follow-through (\"Say-Do\" ratio of 1:1)
