Under direct supervision, provides the primary support for a department or division, performing a wide range of secretarial and clerical work; and performs other related duties as required.
Distinguishing Characteristics
This is the entry-level class within the Management Analyst series. This class performs less complex work and possesses a narrower scope of responsibility. A Management Aide reports to a department head and/or management staff and may take general direction from senior staff members.
Examples of Duties Examples of Duties
The duties listed below are examples of the work typically performed by employees in this class. An employee may not be assigned all duties listed and may be assigned duties that are not listed below:
Answers questions and gives information to the public, employees, and other agencies; and provides factual information regarding City or unit activities and functions that require some interpretation of rules, policies and/or procedures; acts as radio dispatcher.
Maintains department or division files and variety of indexes; research and compiles information from files. Composes and types of routine correspondences and completes forms; prepares monthly reports and mailings. Works independently and provide measurable results.
Assists in the preparation of staff reports; assembles and copies agenda and agenda materials; posts notices of public hearings and agendas. Interviews applicants for department programs. Seek bid proposals and insurance documentation from vendors and consultants. Monitor program compliance and assist with audits. Maintain working relationships with other departments, governmental entities, and consultants. Implements, maintains, and monitors records management processes and procedures; provides project supports to other staff; serves as the key staff person in utilizing Laserfiche document imaging software, including entering and retrieving information; conducts research in response to requests from staff and the public; may provide support in producing agenda packets; provides excellent customer service in responding to inquiries from internal and external customers; demonstrates continuous effort to improve operations, decrease turn a round times; streamline work processes, and works cooperatively with staff; takes initiative to establish and maintain print and electronic records system; responsible for preparing a large volume and variety of records for permanent storage. Typical Qualifications Education/Experience:
Two years of general clerical work that involved public contact or any combination of training and/or experience that could provide the desired knowledge and abilities. Familiarity with word processing, email, and Microsoft Office applications required. Supplemental Information Knowledge of:
Ability to read, write and understand English language documents; to communicate effectively with customers, department personnel, supervisor, and the general public verbally and in writing; proficiency with Microsoft Office programs, specifically Outlook, Word, and Excel.
Ability to:
Ability to keep privileged information confidential; type at a net rate of 35 words per a minute; and establish and maintain working relationships with employees, vendors, contractors, City officials, and the public. Ability to operate a variety of automated office machines, e.g., personal computer, scanning-enabled copier, fax machines, postage meter, CD and DVD recorder/player.
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Ability to exert light to moderate physical effort, and exert sufficient force to lift, carry, push, pull, or otherwise move objects up to 25 pounds. Ability to remain in a sitting/standing position for extended periods of time. Ability to hear and speak to the general public, and City staff on the telephone and in person. Hand and eye coordination are needed to operate office equipment. Strength, dexterity, coordination and vision to use keyboard and video/computer display terminal.
Social Security: employee pays 6.2% and city pays 6.2%.
