Leadership Assistant

Responsibilities Provide primary executive support to the Sales & Marketing Leader and shared administrative support to Get Work leadership team members as appropriate. Facilitate clear and professional communication with internal and external stakeholders. Anticipate needs and help prioritize time, acting as a gatekeeper to protect leader focus. Manage complex calendars, coordinating meetings, conference calls, and events. Coordinate domestic and international travel arrangements and maintain detailed itineraries. Assist leadership team members with travel and scheduling as needed. Plan and coordinate leadership meetings, workshops, and offsites, including agendas, logistics, and follow-up actions. Coordinate meeting logistics such as scheduling, meeting space, and catering. Capture meeting notes and track action items. Manage email prioritization and draft communications when appropriate. Prepare presentations, reports, and meeting materials. Support preparation and distribution of leadership communications, pre-reads, and summaries. Support scheduling and organization of leadership check-ins and development discussions. Prepare and process expense reports (ChromeRiver). Maintain organized digital files and leadership materials. Conduct research and gather supporting information as needed. Provide additional administrative and ad‑hoc support as requested. Qualifications Professional written and verbal communication skills. 5+ years supporting C‑Level executives. Experience planning both domestic and international travel. Proficient with Microsoft Office (OneDrive, Outlook, Word, Excel, PowerPoint, Teams, etc.). Proficient with expense reporting software, preferably ChromeRiver. Experience working in an A/E/C industry a plus. Exceptional attention to detail, organizational and time management skills. Ability to problem‑solve, ask questions, and identify issues. Ability to work independently and take ownership of role and responsibilities. Ability to remain flexible in the face of changing deadlines, travel plans and calendars. Ability to maintain discretion and strict confidentiality. Ability to anticipate needs and show a high level of initiative. Benefits Anticipated starting pay range: $75,000.00 - $115,000.00.
