Location: Austin, TX (Lakeline Area) | Hybrid (TuesdayThursday onsite, Monday & Friday remote) Employment Type: Contract Duration: 6-Month Contract (with possible extension)
Overview
We are seeking a detail-oriented and driven Insurance Coordinator to support operations within a fast-paced insurance environment. This role is responsible for the timely and accurate processing of insurance documentation, policy-related information, and client requests while ensuring compliance with insurance regulations and internal standards.
The ideal candidate is highly organized, comfortable working independently, and thrives in a computer-based environment requiring strong attention to detail, critical thinking, and the ability to manage multiple priorities simultaneously.
There is an initial 35 week training period for this role, during which candidates will be expected to work fully onsite to learn internal systems, workflows, and processes. Once training is successfully completed and the employee is comfortable working independently, the role will transition to the hybrid schedule.
Key Responsibilities
- Prepare and process proof of insurance documents using industry-standard forms and internal systems
- Review submitted documentation, validate insurance information, and distribute completed documents to appropriate parties
- Support end-to-end client renewal processes, including policy updates, document aggregation, and distribution
- Create and manage non-ACORD documents, endorsements, uploads, and policy updates
- Utilize email threads, servicing instructions, and supporting documentation to complete client requests accurately
- Research client feedback, perform root cause analysis (RCA), and communicate findings to stakeholders
- Support onboarding activities for new clients, acquisitions, and mergers
- Act as a liaison and point of contact for internal teams and stakeholders regarding workflow or processing questions
- Maintain accurate records while meeting productivity, quality, timeliness, SLA, and KPI expectations
- Identify opportunities for process improvement and operational efficiency
Qualifications
- Experience supporting clients in a fast-paced office or operations environment
- Strong attention to detail and proofreading skills
- Ability to work independently and manage multiple priorities with minimal supervision
- Experience reviewing business documents and identifying relevant information to complete tasks
- Strong written and verbal communication skills
- Ability to work across multiple systems and applications simultaneously
- Typing speed of 50+ WPM preferred
- Proficiency with Microsoft Office Suite, particularly Word, Outlook, and intermediate Excel functions
- Understanding of insurance compliance and regulatory requirements related to proof of insurance documentation in the United States
Preferred Experience
- Experience within insurance operations, certificates of insurance, or proof of insurance processing
- Familiarity with systems such as Basys, Wincert, Siebel, CSI, itools, COD, or MOI
- Experience supporting policy renewals, endorsements, and client onboarding activities
- Prior experience working in high-volume, metrics-driven operational environments
Work Environment
- Hybrid work schedule based in Austin, TX
- Primarily computer-based work utilizing dual monitors and multiple proprietary applications
- Collaborative team environment focused on operational excellence and continuous improvement
- Limited phone interaction with primary communication occurring through email and internal collaboration tools
