We are seeking a dependable, detail-oriented Customer Service & Administrative Coordinator to join an established copy machine company. This position is ideal for someone who enjoys working with customers, solving problems, and handling a variety of administrative responsibilities.

A key part of this role involves coordinating customer meter readings for copy machines, maintaining accurate account information, and assisting with billing-related tasks. The ideal candidate is organized, comfortable working with numbers, and able to communicate professionally with customers and internal departments.

We are looking for someone who takes initiative, learns quickly, and enjoys figuring things out independently.

Key Responsibilities

• Respond to incoming customer calls and provide friendly, professional assistance.
• Assist customers with account questions and general inquiries.
• Contact customers to obtain copy machine meter readings needed for accurate billing.
• Track and record meter readings received electronically or directly from customers.
• Assist with customer billing, invoicing, and account maintenance.
• Review customer information for accuracy and help resolve discrepancies.
• Communicate and coordinate with the sales department regarding customer accounts and service needs.
• Maintain accurate customer records and documentation.
• Perform general administrative duties and assist with special projects as needed.

Qualifications

• Previous experience in customer service, administrative support, or office coordination preferred.
• Strong communication and interpersonal skills.
• Good mathematical skills and attention to detail.
• Excellent organizational skills with the ability to multitask.
• Comfortable making outgoing customer calls and handling incoming inquiries.
• Ability to learn new systems and procedures quickly.
• Strong problem-solving skills and willingness to take initiative.
• Dependable, professional, and able to work independently or as part of a team.
• Previous experience in the copier, office equipment, or related industry is a plus but not required.
• Required high school diploma
• 3 years of office setting experience
