Junior Buyer

We are seeking a proactive and detail-oriented Procurement Administrator to support a growing procurement function within a fast-paced, multi-site operational environment. This role combines procurement administration with buyer responsibilities and serves as a key liaison between operations, suppliers, finance, and procurement leadership. The ideal candidate will have foundational procurement experience and a strong understanding of purchasing processes, supplier management, sourcing support, and procurement best practices. Equally important, this individual will possess a customer-focused mindset, intellectual curiosity, and a willingness to take ownership while helping build and improve procurement processes. Key Responsibilities Support the sourcing and procurement of operational supplies, fleet maintenance materials, safety equipment (PPE), office supplies, and other approved goods and services. Serve as a primary point of contact for internal customer inquiries and prospective suppliers. Obtain supplier quotations and assist with evaluating pricing, lead times, availability, and service levels. Create, issue, and manage purchase orders in accordance with procurement policies and approval requirements. Monitor open purchase orders and coordinate with suppliers to resolve delays, shortages, freight issues, and order discrepancies. Support approved supplier programs and national account purchasing initiatives. Maintain procurement documentation, contracts, templates, and supplier records within SharePoint and other company systems. Create and maintain procurement reports, spreadsheets, databases, and centralized documentation repositories. Assist with cost analysis, supplier evaluations, pricing comparisons, and sourcing initiatives. Support supplier onboarding activities, including vendor setup documentation, tax forms, insurance certificates, and compliance requirements. Maintain supplier pricing, catalogs, and procurement records to ensure data accuracy. Assist with spend reporting, purchasing analytics, supplier performance monitoring, and rebate tracking. Collaborate with operations, finance, suppliers, and procurement leadership to support day-to-day purchasing requirements. Support inventory replenishment efforts and help maintain appropriate stock levels for commonly purchased items. Ensure procurement activities comply with established purchasing policies, delegated authority guidelines, and approved supplier programs. Participate in process improvement initiatives and identify opportunities for cost savings, standardization, and supplier consolidation. Qualifications 3–5 years of experience in procurement, purchasing, inventory management, supplier management, or a related function preferred. Experience creating, issuing, and managing purchase orders within ERP, procurement, inventory, or financial systems. Working knowledge of procurement processes, sourcing, supplier management, inventory controls, and purchasing best practices. Strong analytical skills with the ability to evaluate pricing, supplier quotations, and purchasing data. Intermediate to advanced Microsoft Excel skills, including reporting, data analysis, and spreadsheet management. Experience with ERP, procurement, or inventory management systems preferred. Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment. Excellent communication and relationship-building skills with a customer-service-oriented approach. Experience supporting multi-location operations, field-based organizations, or decentralized environments is a plus. Familiarity with contract administration, vendor onboarding, supplier documentation, and procurement record management preferred.
