JOB TITLE: Medical Office Specialist

GENERAL SUMMARY OF DUTIES: Performs a variety of duties involved in the maintaining of a psychiatric business.  The duties could include but not limited to working as a front receptionist, scheduling/rescheduling patient appointments, inputting data into the system, running insurance eligibility, reviewing upcoming appointments for outstanding balances, contacting patients about their balance(s) prior to appointments, working patient aging reports to collect delinquent balances, prepare collection requests, working claim denials/appeals, requesting refunds and to follow the established practice priorities and procedures and state and federal laws.

FLSA STATUS: Non-Exempt (Hourly with possible overtime)

ESSENTIAL FUNCTIONS: 

1. Maintain a professional appearance and performance.
2. Accurately schedules new/established patients.
3. Verify benefits/eligibility of patient’s insurance.
4. Collect any monies owed in the patient’s responsibility category.
5. Post payments into the appropriate systems with balance sheets.
6. Work variety of reports.
7. Call patients to discuss balances due and make payment arrangements.
8. Input all information obtained into the computer system appropriately.
9. Review and prepare accounts for collections.
10. Work and follow up on insurance denials/appeals in a timely manner. 
11. Return any pertinent calls to appropriate sources regarding scheduling, insurance, and/or payment.
12. Completely research credit balances and resolve or request refunds.
13. Perform any other duty that may be assigned to you within the established practices of the clinic and to the state/federal laws and regulations.

EXPERIENCE: Minimum of 3 years medical experience at a practice with more than 5 physicians. 

SKILLS & ABILITIES:  

1. Experience in NextGen preferred but not required.
2. Experience with health insurance preferred.
3. High attention to detail and the proven ability to complete tasks on time is required.
4. Excellent interpersonal skills and ability to communicate clearly and concisely with physicians as well as staff is required.
5. Basic skill in using computer applications, particularly Microsoft Office suite is required.
6. Ability to establish and maintain effective relationships with patients, physicians, external consultants, and employees is required.
7. Excellent organizational skills required.
8. Excellent attitude and willingness to learn is absolutely required at all times.
