Site Contracts Specialist – Clinical Trials Experience Location: Home‑Based in the United States Job Responsibilities Administers all contract management processes, coordinating with protocol, informed consent, institution, investigator, vendor, consultant, and customer agreement documents at the project level. Leads multi‑country projects (with supervision), negotiating and preparing contracts, budgets, and related documents for industry‑sponsored clinical trials; produces site‑specific contracts from country templates and supports submission of proposed contract and budget for site. Supports the Site Contracts Service Centre and SSUL in negotiating budget and contract with site sites, performs quality control and arranges execution of CTAs, archives documents into repositories, and captures metadata. Reviews contracts for completeness and accuracy, ensures corrections are made and documented, and represents site contracts/Site Start‑Up at internal or customer meetings. Works with Contract Managers on active project management and follows up on outstanding contract issues. Generates amended contract and/or budget documents, prepares contract‑management documentation, and streamlines the contract/proposal or internal processes, introducing creative ideas and solutions. Maintains forecasting of country/site contracting timelines, tracks milestone progress in the SSU tracking system, and collaborates with legal, finance, and clinical operations departments to communicate legal and budgetary issues. Facilitates execution of contracts by company signatories and maintains contract templates as well as site‑specific files and databases. Trains and mentors less‑experienced staff on SOPs, maintains training material, and acts as liaison between site contracts staff and internal/external customers. Monitors basic financial aspects of the project and the number of hours/tasks available per contract; escalates discrepancies as needed. Ensures compliance with SOPs and work instructions, keeps training records updated, and ensures timesheet compliance. Qualifications BA/BS in Business Administration, Public Administration, Public Health, or a related field; advanced degree preferred. High level of contract‑management experience. Experience in a contract research organization or pharmaceutical industry. Strong knowledge of the clinical‑development process and legal and contracting parameters. Excellent understanding of the clinical trial process across phases II‑IV and ICH GCP. Good understanding of clinical protocols and associated study specifications. Project‑management experience in a fast‑paced environment. Strong vendor‑management skills and ability to manage challenging priorities. Excellent written, oral, and presentation skills; strong team orientation. Strong organizational skills and proven ability to handle multiple projects. Quality‑driven, strong negotiating and problem‑solving skills. Ability to mentor, lead, and motivate junior staff. Ability to provide quality feedback and guidance to peers; contributions to training and quality‑assurance plans within SSU and update SOPs/WI.
