Overview - Rutgers University Behavioral Health Care (UBHC), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC's 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education. UBHC, one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school. Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.

Posting Summary - Rutgers, The State University of New Jersey, is seeking a Supervising Program Assistant I for the Military Services within Rutgers University Behavioral Health Care. Under direction, manages office support operations and activities for the Call Center and is responsible for grant management and reporting. This position provides related administrative services as required. Among the key duties of this position are the following: Provides day-to-day supervision of clerical/secretarial staff assigned to the office. Works collaboratively with program leadership and Clinical staff to ensure that the unit operates efficiently and effectively on a daily basis to include nights and weekends. Provides detailed call reports to include phone and data management systems work and the ability to analyze reports to assist the Executive Director/Director and supervisory staff in daily operations. Coordinates and performs detailed documents, fiscal procedures and maintains records associated with grant accounts and state and federal budgets, donations and fund raising activities. Tracks budgets for programs and ensures funds are utilized according to policy and regulations. Compiles necessary data and justification for projected expenditures. Subject matter expert on fiscal procedures. Prepares a myriad of reports, organization charts, work flow processes and spreadsheets containing findings, analyses, conclusions and recommendations as requested. Maintains multiple department accounts, monitoring expenditures and insuring compliance with budgets.

Qualifications

Minimum Education and Experience - Bachelor's Degree in Business, Finance or a related discipline, plus two (2) years of related experience in a business office, government agency or university setting required. Equivalent education, experience and/or training may be substituted for the degree. Minimum of three (3) years of Call Center experience required (five (5) years preferred).

Certifications/Licenses

Required Knowledge, Skills, and Abilities - Supervisory, fiscal management, and organizational skills. Must be proficient in Microsoft Office. Extensive knowledge of telephone systems and operations.
