Legal Administrative Specialist
The Legal Administrative Specialist provides litigation and case management support to Assistant United States Attorneys (AUSAs), investigators, federal agents, and legal support personnel. This role supports all phases of litigation by organizing and managing case-related information, coordinating discovery processes, conducting legal and factual research, preparing trial materials, and utilizing litigation support technology to enhance case preparation and courtroom presentation. The position serves as a key resource in ensuring efficient document management, evidence organization, and compliance with legal procedures and court requirements.
Key duties and responsibilities include:
- Collaborate with AUSAs, investigators, federal agents, and support staff to identify and implement effective litigation support strategies.
- Organize, scan, index, process, and load case documents into litigation databases to facilitate efficient storage, retrieval, and review of information.
- Develop and maintain document indices, coding structures, and search criteria to support automated case management systems.
- Monitor data entry activities and ensure accuracy and completeness of case-related information.
- Utilize litigation support software and Microsoft Office applications to organize, summarize, analyze, and present data in narrative, tabular, graphical, and demonstrative formats.
- Create trial presentation materials, including exhibit boards, charts, maps, timelines, photo arrays, and other courtroom demonstratives.
- Coordinate courtroom and grand jury technology setup and operate presentation systems during proceedings as required.
- Manage discovery production activities, including identification, copying, extraction, numbering, and preparation of documents and materials for production.
- Draft discovery correspondence and maintain records, inventories, and indexes of discovery materials produced and received.
- Conduct legal and factual research using legal databases, public records, and automated research tools to support case development and litigation activities.
- Review, inventory, analyze, and summarize documents and materials produced in response to subpoenas and grand jury requests.
- Prepare and maintain trial-related documents, including exhibit lists, jury instructions, subpoenas, discovery letters, and case management records.
- Identify deficiencies, inconsistencies, or missing information in case files and coordinate follow-up actions with investigative personnel.
- Maintain accountability and tracking systems for exhibits and evidentiary materials used in grand jury proceedings and trials.
- Provide procedural guidance and support regarding litigation document preparation and case administration in accordance with applicable legal rules and practices.
Education and/or experience:
- Associate's degree, bachelor's degree, paralegal certificate, or equivalent combination of education, training, and relevant work experience preferred.
- Experience supporting litigation, legal operations, eDiscovery, records management, or legal administrative functions.
- Experience working with litigation support databases, document management systems, and trial presentation technologies preferred.
- Experience supporting legal professionals in government, law firm, corporate legal, or litigation support environments preferred.
- Demonstrated experience organizing and managing large volumes of records, evidence, and case-related documentation.
- Knowledge of litigation support principles, methodologies, technologies, and best practices.
- Understanding of legal principles, legal research methods, rules of evidence, and litigation processes sufficient to support case preparation and trial activities.
- Knowledge of the mission, functions, and litigation activities of the United States Attorney's Office (USAO).
- Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Familiarity with litigation support and trial presentation platforms such as Trial Director, Summation, Concordance, Eclipse, CaseMap, TimeMap, Sanction, and related applications.
- Strong analytical, investigative, and problem-solving skills.
- Ability to review, organize, summarize, and present complex information in clear and effective formats.
- Excellent oral and written communication skills.
- Strong attention to detail and ability to maintain accurate records and exhibit inventories.
- Ability to manage multiple priorities, maintain confidentiality, and work effectively in a fast-paced litigation environment.
