Customer Service Representative

Veterans Healthcare Supply Solutions has partnered with Hueman to find a Customer Service Representative. This is a full-time, permanent position on-site M-F in Jacksonville, FL. The Customer Service Representative works with various aspects of customer service and customer relations. Responsible for processing and following up on all customer calls; message taking and subsequent follow-up with necessary action. Must be proficient in Microsoft Office Platforms. Candidate must be a self-starter, detail-oriented, and able to multitask. VHSS distributes medical, dental, laboratory, and food service supplies and equipment to federal, state, and local government agencies. VHSS partners with leading manufacturers to ensure the highest quality standards and to provide cost-effective solutions for our valued customers. Duties and Responsibilities: Understand Company Enterprise Resource Planning (ERP) System – Profit 21 Create individual and mass item upload Excel files when needed – ERP System File invoices and contracts Tax Forms – Resale Certificates – State Requirements sent monthly Log (Excel) all open invoices and notate when they've been paid – sales tracing Take and place call‑in and email orders Email customer order acknowledgements, invoices, credit card receipts, tracking info, and anything regarding their order Request freight quotes Notify the warehouse when new orders are placed and are good to ship out Create POs Answer and direct phone calls Operate multi line switchboard Set up holiday phone greetings/phone maintenance Inventory and Order supplies Plan and execute office events Create and maintain order forms and pricing Update extension and contact info when a new employee starts Create Written Quotes – typed and sent via email or fax to customers Set up new suppliers/items/customers in the ERP System Enter customer orders. Create Purchase Orders, send to the supplier and customers Administrative duties - including but not limited to copying, faxing, typing letters for signature, and answering the phone Required Skills/Abilities: Great Customer Service - phone and email etiquette Administrative Writing Skills, Microsoft Office Skills Managing Projects, Professionalism, and Problem Solving Analytical skills Moderate typing skills Effective communication Strong organizational skills Proficient computer skills Understanding of customers’ needs while supporting the company’s goals Minimum Requirements: Minimum of 5 years of experience in skills listed above Experience with Microsoft Office Priority given to Veterans Veterans Healthcare Supply Solutions (VHSS) provides over 30 years of healthcare distribution management experience and represents leading manufacturers to federal government agencies.
