Accounts Payable Manager

UBEO Business Services, the premier provider of business technology products and services, is seeking to hire a Accounts Payable Manager to join our team in San Antonio, Texas.


UBEO is a distributor/servicer of document equipment and software solutions. Primary products include Xerox, Ricoh, Canon and Konica Minolta multi-functional equipment and Kyocera printers. UBEO specializes in electronic document management software and integrations.


The primary responsibilities of this position is as follows:

Reports To: Senior VP Finance
FLSA Status: Full Time / Exempt

Purpose

Under the direction of the Senior VP of Finance, this position will be responsible for the processing of payment transactions and meeting the financial commitments of the organization, while ensuring the integrity, accuracy, and security of such information for accounting purposes.


Responsibilities

• Manages the accounts payable department and its staff, including staff training and development and day-to-day personnel matters.
• Oversees all payment transactions such as ACH, wires, paper checks and credit cards, and coordinates the weekly payment cycle.
• Oversees Central Truist Purchasing credit card program, ensuring purchases made by Central Region cardholders are accurately imported into ERP and posted to correct expense GL.
• Handles data entry, validation, matching and processing of various types of invoices such as inventory purchasing, general expenses and employee reimbursements.
• Ensures that all invoices are properly approved by management as outlined in the company's expense authorization policy.
• Answers vendor inquiries and investigates and resolves any discrepancies.
• Tracks vendor activity in system and files 1099 tax forms annually.
• Ensures that AP systems, policies, and procedures adhere to company policies while functioning with accuracy and timeliness.

Qualifications

• Supervisory experience required
• Excellent written and verbal communication skills
• Previous oversight of full cycle Accounts Payable function required
• Experience with an ERP AP system required
• Month End Close experience preferred
• Implementation experience with payables-related software (such as Concur) preferred
• E-automate software experience helpful but not required
• Copier sales and service industry familiarity a plus
• Degree in Accounting or Finance related field a plus

• Ability to talk on the phone and work with various computer tools and applications
• Ability to type and compose written communication in various forms
• Ability to lift 20+lbs on occasion
