Essential Duties and Responsibilities Customer Service and Employee Support
- Serve as a primary point of contact for applicants, employees, administrators, substitutes, retirees, and community members regarding Human Resources services and processes.
- Provide exceptional customer service through prompt, professional, knowledgeable, and courteous communication.
- Foster positive relationships through respectful, solution-oriented interactions.
- Create a welcoming and supportive experience for all individuals interacting with the Human Resources Department.
- Respond to inquiries regarding employment, compensation, contracts, certification requirements, leave processes, district procedures, and personnel matters.
- Assist employees and applicants with navigating district employment processes and systems.
- Resolve issues and concerns in a timely, professional, and customer-focused manner.
- Maintain strict confidentiality while providing responsive customer service.
- Coordinate recruitment and hiring activities for certified, classified, substitute, and administrative positions.
- Post and maintain vacancies through district-approved systems, ADE job boards, and external recruitment platforms.
- Assist with applicant tracking, interview scheduling, candidate communications, and employment processing.
- Support hiring managers throughout the recruitment and selection process.
- Verify employment qualifications, certifications, endorsements, licenses, and experience requirements.
- Assist with the development, review, and revision of job descriptions.
- May attend career fairs in AZ.
- Manage onboarding processes for all newly hired employees.
- Conduct and coordinate new employee orientation activities.
- Ensure completion of all required employment documentation and compliance requirements.
- Process employment eligibility verification (I-9), background checks, fingerprint clearance requirements, and employment verification procedures.
- Prepare and issue contracts, work agreements, offer letters, and personnel action documents.
- Coordinate employee separations, resignations, retirements, and exit procedures.
- Maintain accurate onboarding and separation records.
- Perform HR data entry and maintain employee information in district systems.
- Maintain accurate employee demographic, position, salary, certification, assignment, and employment records.
- Manage and maintain confidential electronic personnel files.
- Audit employee data to ensure accuracy and compliance.
- Generate personnel reports, workforce analytics, and HR metrics as requested.
- Assist with HR system maintenance, troubleshooting, and process improvements.
- Collaborate with Payroll, Business Services, and district departments to ensure data integrity across systems.
- Prepare, audit, validate, and submit required state and federal personnel reports according to established timelines.
- Coordinate School District Employee Report (SDER) submissions and related personnel data reporting requirements.
- Coordinate with Arizona Department of Education (ADE) staffing, certification, assignment, and employment reporting requirements.
- Support district compliance reporting related to federal programs, grants, audits, and workforce data collections.
- Maintain documentation supporting state reporting, monitoring activities, and audit requests.
- Research and resolve reporting discrepancies to ensure data accuracy and compliance.
- Monitor certification, fingerprint clearance, employment eligibility, and personnel record retention requirements.
- Assist with compliance activities related to district, state, and federal employment regulations.
- May determine salary placement based on approved experience credit, education, and transcript evaluations.
- Process personnel actions including transfers, status changes, assignments, leaves, and employment updates.
- Prepare personnel activity reports and provide information for Governing Board agendas and actions.
- Complete employment verifications, loan forgiveness forms, credentialing documents, and other employee requests.
- Coordinate intern, practicum, and student teaching placements.
- Manage employee absence and substitute management systems.
- Maintain knowledge of district policies, procedures, and employment practices.
- Perform other duties as assigned.

- Build positive working relationships with employees, applicants, administrators, students, and community members.

- Bachelor's degree in Human Resources, Business Administration, Public Administration, Education, or a related field preferred.
- Minimum of four (4) years of increasingly responsible experience in human resources, personnel administration, recruiting, compliance reporting, data management, or a related field.
- School district or public-sector human resources experience preferred.
- Equivalent combinations of education and experience may be considered.
- Knowledge of human resources principles, employment practices, and personnel administration.
- Knowledge of state and federal employment regulations and compliance requirements.
- Knowledge of recruitment, onboarding, employee records management, and HR processes.
- Experience with human resource information systems (HRIS), applicant tracking systems, and electronic records management.
- Proficiency with Microsoft Office Suite, Google Workspace, Tyler iVisions, Frontline, and related software applications.
- Strong data management, reporting, and analytical skills.
- Ability to prepare accurate reports and maintain detailed records.
- Ability to communicate effectively with diverse stakeholder groups.
- Ability to maintain confidentiality and exercise discretion.
- Ability to learn and adapt to changing reporting requirements, software systems, and regulations.
- Ability to type accurately and efficiently.
