Interim Administrative Assistant II

Palm Beach State College

Responsibilities Provide administrative support to the department. Maintain departmental files and process course scheduling in the system. Prepare payroll, process electronic purchase orders, and assist with budget activities. Load information, generate reports, and prepare correspondence. Provide accurate information to students, faculty, staff, and the public. Perform administrative and secretarial duties requiring comprehensive knowledge of the organization’s policies and operations. Schedule appointments and meetings. Prepare requisitions and electronic purchase orders; submit to manager for processing. Assist in the preparation and may transfer budget items, as needed. Maintain and control records, including database logs, cost records, and general records (excluding bookkeeping). Set up and organize files and manuals and distribute as needed. Type, edit, and format forms, reports, memos, and correspondences. Design spreadsheets using multiple function formulas and links. Enter or edit data in existing database files. Load courses into the system. Input or edit standard text for routine correspondence and reports. Respond to inquiries from employees and external sources regarding a variety of questions. Assist with the production of presentations with unique and customized formatting patterns. Determine the need for office supplies, equipment, and materials; order new supplies and equipment as needed. Perform other job‑related duties as assigned. Qualifications High school diploma or GED. One year of related experience. Knowledge of Microsoft Office Suite or similar applications. Strong attention to detail while maintaining effective time and task management. Effective verbal and written communication with internal and external customers. Ability to build relationships, manage customer expectations, and take responsibility for a high level of service. Positive interaction with diverse populations and varying education levels of students, faculty, staff, and the public. Work Environment and Physical Demands Regular physical attendance required. Reach and grasp objects; stoop, bend, kneel, crouch, or crawl. Use of video display terminal; manual dexterity and fine motor skills. Communicate information orally and in writing; receive and understand information through oral and written communication. Proofread and check documents for accuracy. Work a fluctuating work schedule.
