Accounts Payable Specialist (Fiscal Specialist 1) This full‑time, permanent, classified, overtime‑eligible position in the Pierce College District supports financial stewardship in accounts payable and purchasing. The specialist works under general supervision and exercises independent judgment to resolve problems and advise staff and administration regarding state accounting policies and procedures. Responsibilities Work with the Accounts Payable Supervisor and Procure to Pay Manager to establish and maintain a comprehensive system for recording fiscal activity. Process, verify, and reconcile invoices and payments, ensuring accuracy and adherence to contracts, purchase orders, and internal controls. Reconcile entries and prepare reconciliations of printed checks, vendor statements, and system reports against account balances. Credit vendors by monitoring discount opportunities, scheduling checks, and resolving payment discrepancies. Process employee vouchers for expense reimbursement, ensuring completeness and compliance with regulations. Maintain historical payment records and support the review, analysis, and interpretation of financial data and reports. Identify and correct accounting discrepancies and discrepancies found during analysis. Team Work Assist the Procure to Pay team with additional accounts payable and purchasing tasks as directed. Serve as backup for fiscal services activities, including mailing of refunds, payroll, and financial aid checks. Execute special projects assigned by the Procure to Pay Manager, Director of Fiscal Operations, or Vice President for Fiscal Services. Prepare annual records for archival purposes. Education Required GED or High School Diploma plus at least 10 college credits in accounting, auditing, or a closely related field; OR one (1) year of equivalent professional experience may substitute for the 10 college credits. Additional education equivalency applies on top of the minimum experience required. Experience Required One (1) year of experience working with financial data and data entry. Experience providing customer service via phone, email, and in‑person contact. Special Requirements Consent to and pass a criminal background check after conditional offer. Consent to and pass a credit check for finance or cash‑handling roles after conditional offer. Required Competencies Knowledge, Skills, and Abilities Understanding of GAAP, FERPA, Department of Education regulations, Washington State laws, and relevant financial manuals. Ability to work with complex fund structures, detailed budgets, and extensive chart of accounts. Ability to develop and modify computerized and manual transaction monitoring and reporting tools. Ability to monitor and review financial data input and output and develop fiscal queries and reports. Ability to interpret and explain applicable state and federal regulations. Terms of Employment This is a full‑time (40 hours per week) classified, overtime‑eligible position with a 6‑month probationary period followed by permanent status. Work location is the Pierce College, Fort Steilacoom campus, with occasional travel and occasional remote work after the probationary period. Work schedule is Monday–Thursday nine (9) hours per day, Friday four (4) hours per day, with occasional evenings and weekends as required. Salary & Benefits Salary range: $45,732.00 – $54,204.00 annually, with periodic increments up to $55,584.00 annually. Total compensation includes health, dental, vision, life and long‑term disability insurance, vacation, sick and personal leave, reduced tuition, and retirement benefits.
