Construction Coordinator

This is an hourly position. The incumbent is expected to work the necessary hours to meet the needs of a 24 hour establishment, must be flexible and available to work any shift, weekends and holidays as needed.

Under the supervision of the Assistant Director of Public Works, oversees multiple projects simultaneously, performs site visits on a regular basis, ensuring that timetables are met and that all safety regulations are being followed. Manages the project budget, prepares estimates, change orders, and work authorizations, as well as negotiates and submits all contracting and subcontracting assignments for owner's approval. Serves as a liaison between the construction crew and clients, assures the quality of the project as well as manages the expectation of the owner and construction staff.

Provide administrative support to project managers and construction staff, including scheduling meetings, respond to emails and phone calls. Prepare and maintain project files from project initiation through closeout. Prepare and track contracts, change orders, purchase orders and subcontract agreements. Track permits, inspections and regulatory documentation; including but not limited to competition of plans and specifications, identify change in conditions, maintain daily logs, violation notices and stop-work orders. Measures and documents field quantities completed. Ensures that construction sites conform to specifications and codes by reviewing blueprints and monitoring that all structures, (beams, foundations, wiring, plumbing, HVAC systems and appliances) and earthwork meet state and national regulations and are installed properly. Determines the environmental impact of structures and earthwork and adherence to environmental regulations, as well as ensure that construction activities do not violate permit requirements. Weekly survey Owner's grounds for issues related to environmental compliance and health and safety issues. Provide field notes of conditions that need attention with comments about the risk presented and nature and urgency of needed remediation. Review contractor Invoices and reconcile against field quantities. When needed, perform force Account Analysis on time and materials contracts. Review project accounting and invoices and necessary documentation for release of final payments and project close outs. Contract specific administrative functions. Filing and organization. Drafting of correspondence. Report writing. Other duties as assigned.

Carries out supervisory responsibilities in accordance with policies. Responsibilities include interviewing, hiring, termination, planning, assigning and directing work, appraising performance, reward and disciplining employees, addressing complaints and resolving problems.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and ability required. Three (3) years of secretarial/administrative experience required. Three (3) years minimum performing duties described herein. Intermediate skills in MS-Windows, MS-Outlook, MS- Office (i.e. Excel, Word, Access, Adobe and PowerPoint. Must be willing to travel during business hours. Must be able to type at a rate of no less than 45 words per minute. Must be able to work under extreme pressure. Must be able to work independently with minimal supervision. Must be able to get along with co-workers and work as a team. Must present professional appearance at all times. Must be able to maintain a high degree of confidentiality with respect to all matters pertaining to the gaming enterprise business.

High School Diploma or GED required additional college level course work or technical training in business or related field highly desirable. AA Degree in General Studies, engineering, construction, or management related field is required, or equivalent work experience may be considered in lieu of formal education.

Must be able to read, write, speak and understand English. Excellent oral and written communication skills are important to the successful conduct of this position. Ability to write accurate, grammatically correct, polished reports and business correspondence. Must be able to speak with the public in a professional manner.

Ability to add, subtract, multiply, and divide in all units of measure. Ability to proactively streamline processes for company's return on investment. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of instructions furnished in written, oral, diagram or schedule form. Ability to process detailed work and requests for information or assistance in a timely manner. Ability to apply regulatory and procedure doctrine, concepts, and policy to practical situations.

Must possess a valid California Driver's License with a clean driving record.

Must be able to maneuver around all areas of the casino. Must be able to sit and/or stand for extended periods of time. Must be able to lift up to twenty-five (25) pounds. Must have manual dexterity to operate a computer and other necessary office equipment. Must be able to bend, reach, stoop, kneel, twist and grip items. Must be able to respond to visual and audio cues.

This is a fast paced, highly diverse work environment, and the position requires the ability to remain flexible and get along with all personality types. Must be able to manage a number of priorities simultaneously and meet deadlines. Must be able to respond calmly to customer concerns and questions.
