Coordinator, Academic Resource Center
Cairn University's Academic Resource Center is seeking qualified applicants for the full-time position of Coordinator. The Academic Resource Center (ARC) provides academic support services, including disability services, resources, education, guidance, and support of students' academic efforts, to students with such needs. The ARC is subject to certain state and federal laws requiring documentation, planning, and recordkeeping.
Position Summary
The Coordinator serves in a full-time staff position and assists the Director in communication with internal and external constituents, and in the implementation, administration, and coordination of student services provided by ARC. All positions at Cairn University are expected to affirm, support, and uphold the University's Foundational Statements in both professional responsibilities and interactions with students, employees, and the broader University community. As a distinctly conservative evangelical Christian institution, Cairn expects employees to conduct themselves in a manner consistent with and supportive of the University's mission.
Essential Duties and Responsibilities
General Responsibilities:
- Assist and support the Director of Academic Resources.
- Coordinate and oversee Academic Resource Center programs and services.
- Research and communicate with other professionals and college/universities about improving current programs and services.
- Coordination of education support services for Students with Conditional Acceptance.
Coordination of Conditional Acceptance Program:
- Plan and execute the Conditionally Accepted student Orientation.
- Plan and execute ARC end of the semester chapels for the Conditionally Accepted students.
- Review individual academic needs and create an individualized Student Success Plan with each Conditionally Accepted Student.
- Assist Conditionally Accepted Students with registration and class rostering.
- Monitor academic progress for Conditionally Accepted students, based on feedback from faculty and advisor.
- Communicate with and follow up with faculty, students, and advisors concerning student's academic progress.
- Develop periodic progress reports for the students, based on feedback from student's faculty and student's record of attendance at weekly ARC support meetings.
- Meet monthly with each student to review progress reports for the student, based on feedback from the student's faculty and students record of attendance at weekly ARC support meetings.
- Plan, schedule, and oversee weekly meetings and support services for Conditionally Accepted students.
- Review end-of-year and end-of-semester progress reports for recommendation of further Student Success Plan goals and requirements.
Coordination of Mentoring Program:
- Supervise any Graduate Assistants assigned to the program.
- Recruit and train Student Success Mentors and faculty/staff mentors.
- Match mentors and mentees based on Mentor/Mentee Matching Forms.
- Research mentoring strategies and best practices.
- Record and follow up with mentors and mentees based on mentor meeting notes.
- Periodically assess mentor program based on mentor and mentee feedback.
Coordination of English Language Learners and International Students:
- Assess students for level of English knowledge.
- Provide support for ELL and international students through Writing Lab and Assisted Homework Sessions.
- Connect students to English Language Partners to help them with both academic and everyday English.
Coordination of Academic Tutoring Services:
- Oversee the Writing Lab by assisting and guiding the Writing Lab Student Manager.
- Oversee the recruitment, training, and scheduling of subject tutors monitor the progress of students begin tutored.
- Monitor the progress of tutees, communicate with tutors and tutees, and ensure proper documentation of the sessions.
- Plan and execute monthly meetings with tutors.
Coordination of Disability Services:
- Assist Academic Resource Center Director in providing support to students with disabilities.
- Oversee Student Assistants as they manage student note-taking program and perform other ARC services as assigned.
- Schedule and proctor tests for students with testing accommodations.
- Oversee and coordinate one-on-one support for visually impaired students.
Miscellaneous Responsibilities:
- Meet with students on Academic Probation to develop a personalized academic recovery plan.
- Oversee ARC student assistants, including recruitment and training.
- Oversee the social media accounts of the ARC.
- Manage ARC calendar and schedule appointments for students.
- Oversee updating of ARC bulletin board.
- Maintain documentation and records of communication and meetings involving students utilizing ARC services.
- Plan and facilitate online Academic Skills Workshops, reviewing and adding new workshops as necessary.
- Oversee and conduct one-on-one support sessions (Time Management, Organization, Study Skills, Reading Skills, Test-taking Skills, etc.) and train Student Assistants to conduct these sessions.
- Maintain and update ARC resources, job descriptions, flyers and handouts as needed.
- Participate in additional tasks and responsibilities as needed to support the overall operations and goals of the department. This may include contributing to cross-functional projects, assisting colleagues, or responding to evolving priorities, even when such tasks fall outside the specific scope of the role.

Required Education and Experience
- Bachelor's degree, with preference given to Education or Social Work degrees.
Physical Requirements
- Prolonged periods of sitting at a desk while meeting with students, developing academic support materials, and working on a computer.
- Frequent movement around campus to attend meetings, deliver presentations, or support students in classrooms, testing centers, or study areas.
- Occasional lifting and carrying of resources such as books, testing materials, or equipment weighing up to 20 pounds.
- Use of hands and fingers to operate a computer, mobile device, assistive technology, and standard office equipment.
- Visual and auditory ability to read and interpret academic documentation, communicate clearly with students and faculty, and monitor quiet testing environments.
- Ability to work flexible hours, including occasional evenings or weekends, to support workshops, extended testing sessions, or academic events.
- Sustained mental focus required to review documentation, implement academic accommodations, and manage multiple student support requests.
- Capacity to respond calmly and professionally to students experiencing academic stress, learning difficulties, or disability-related challenges.
- Emotional resilience to support a wide range of student needs with empathy, patience, and cultural sensitivity.
- Ability to handle confidential information in accordance with FERPA and institutional privacy standards.
- Adaptability to shifting academic calendars, evolving student needs, and changing accommodation requirements or institutional procedures.
This position requires a valid driver's license, the ability to operate a motor vehicle, and adherence to university travel and safety protocols.
