Job Summary

The Spare Parts Coordinator is responsible for managing all aspects of spare parts sales, inventory coordination, and order fulfillment. This role serves as a key point of contact for customers, ensuring spare part orders are accurate, processed efficiently, and shipped in a timely manner while maintaining adequate stock levels of common spare parts. This position reports to the Purchasing Department.

Key Responsibilities

· Receive and process spare part orders from customers

· Issue and send spare parts quotes to customers

· Review and process customer purchase orders (POs)

· Ensure spare parts orders are picked, packed, and shipped accurately and on time

· Pull spare parts from inventory for customer orders and internal jobs

· Coordinate with Purchasing to identify and maintain safety stock levels

· Ensure proper & accurate documentation is turned into accounting

· Verify that correct spare parts are ordered and shipped for each machine

· Maintain spare parts inventory by performing regular stock counts

· Ensure common and critical spare parts are kept in stock

· Proactively reach out to customers to identify spare part needs for their machines

· Support production and service team by receiving components & pulling parts for jobs from stock

· Maintain accurate documentation related to orders, inventory, and shipments

Required Qualifications

· Prior sales experience

· Strong verbal and written communication skills

· Ability to work independently and manage multiple priorities

· Attention to detail and accuracy in order processing

· Understanding of bills of materials (BOMs), drawings, and schematics

· Role requires a high level of ability to research and analyze historic BOM and component requirements

· Highly organized

· Personable and customer-focused

· Positive, can-do attitude

· Must have a Team Work attitude and willingness to pivot tasks for the benefit of the overall goals

· Eager to learn new information and continuously improve
