The Confirmations Specialist plays a critical role in ensuring the accuracy and timeliness of customer orders by placing and receiving calls to validate orders and schedule pickups and deliveries. This position requires exceptional communication skills, attention to detail, and the ability to provide outstanding customer service while adhering to established procedures.

Schedule: Monday-Friday, 8:30am-5:00pm CST

Compensation: $20-$22/hr

Essential Duties:

• Placing and receiving calls or sending electronic communication to customers to validate and confirm order details, ensuring accuracy and completeness.
• Verify customer information, such as contact details, delivery addresses, and service requirements, to ensure accurate scheduling of delivery and pickup.
• Follow established scripts and protocols while engaging with customers, maintaining a professional and friendly demeanor throughout the call.
• Provide exceptional customer service, addressing customer inquiries, concerns, and requests (both by phone and via email) in a timely and efficient manner.
• Document all interactions, order confirmations, and customer feedback accurately in a central Transportation Management System.
• Communicate and coordinate with internal teams to ensure smooth and timely order fulfillment.
• Identify opportunities for process improvements to enhance the efficiency and effectiveness of the confirmation process.
• Adhere to company policies, procedures, and guidelines related to order confirmation, data privacy, and customer interactions.
• Maintain a professional and positive attitude while representing the company and its values in all customer interactions.
• Additional duties, assigned to support business needs.

Qualifications:

• High school diploma or equivalent.
• Experience in a customer service or call center role, with a strong emphasis on outbound calling and order confirmation (minimum of 1-3 years preferred).

Skills:

• Proficient in Microsoft Office programs and other general office equipment.
• Excellent verbal communication skills, with the ability to engage customers in a professional and friendly manner.
• Strong attention to detail and accuracy, ensuring order information is validated and recorded correctly.
• Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
• Adaptable and flexible, willing to embrace changes in processes and procedures as required.
• Professional and positive attitude, with the ability to remain calm and composed during challenging situations.
• Ability to follow established scripts and protocols while adding a personal touch to customer interactions.
• Familiarity with CRM systems or order management systems is a plus.
• Ability to maintain confidentiality and handle sensitive customer information with care.
