We are seeking a dependable, detail-oriented Accounting Associate who enjoys solving problems, keeping records accurate, and contributing to a collaborative team. About the Role : This position offers a broad range of accounting responsibilities, including accounts payable and receivable, general ledger maintenance, journal entries, reconciliations, payroll support, tax compliance, and financial reporting.

You will work with management and other departments, maintain accurate information in our Odoo ERP system, and assist with administrative functions that support daily operations.

Success in this role requires a strong accounting foundation, sound judgment, and the initiative to investigate discrepancies and follow through on solutions.

Key Responsibilities

Accounting & Financial Records

• Prepare and post journal entries and adjusting entries with accurate supporting documentation.
• Maintain and reconcile general ledger accounts, investigate variances, and make appropriate corrections.
• Process accounts payable, including vendor invoices, expense tracking, bill payments, and vendor records.
• Manage accounts receivable, including customer invoicing, payment application, account reconciliations, and payment discrepancies.
• Follow up professionally on past-due customer balances.
• Assist with payroll processing, commissions, and related accounting and reporting.
• Support employee benefits administration and related accounting.
• Prepare financial reports requested by management and maintain organized, accurate records.

Tax & Compliance

• Prepare and file quarterly sales tax returns and maintain supporting documentation.
• Support federal, state, and local tax filings and compliance requirements.
• Coordinate financial information and documentation for external accountants and tax professionals.
• Maintain records in accordance with applicable accounting practices and company procedures.

Odoo & Customer Account Maintenance

• Create and update customer records in Odoo, including contact, billing, shipping, and account information.
• Help maintain the accuracy and consistency of financial and operational data within the ERP system.

Operational & Administrative Support

• Maintain vendor records and assist with service coordination, pricing, contracts, and maintenance scheduling.
• Purchase office, warehouse, and operational supplies as needed.
• Collaborate with other departments to resolve accounting, customer account, vendor, and purchasing discrepancies.
• Assist with additional accounting and administrative projects as needed.

What You Bring

• At least 3 years of professional accounting, bookkeeping, or related experience.
• A strong understanding of general ledger accounting, journal entries, adjusting entries, and account reconciliations.
• Working knowledge of accounts payable, accounts receivable, invoicing, payment processing, and collections.
• Proficiency with Microsoft Excel or Google Sheets and experience using accounting or ERP software.
• Excellent attention to detail, organization, and accuracy.
• The ability to independently research discrepancies, resolve problems, and follow tasks through to completion.
• Strong time management skills and the ability to balance responsibilities and meet deadlines.
• Clear, professional communication with customers, vendors, colleagues, and outside accounting professionals.
• A collaborative, flexible approach and a willingness to help where needed.

Odoo experience is strongly preferred, but not required. Candidates who have used other accounting or ERP systems and are comfortable learning a new platform are encouraged to apply.

Education

An associate’s or bachelor’s degree in Accounting, Finance, Business, or a related field is preferred. Equivalent practical accounting or bookkeeping experience may be considered in place of a degree.
