The Opportunity Our operations run through a small, seasoned team, and there’s more day‑to‑day work than a few people can keep up with. We’re hiring an Operations & Logistics Coordinator to help run it: to handle the core workflows, work closely alongside our COO, and become a dependable right hand who helps keep everything moving. You’ll own the core operational tasks: customer orders, EDI, international shipping, and the books. As you get comfortable, you’ll learn how every part of this business moves and help put simple, repeatable processes in place so things run more smoothly. It’s a hands‑on role with broad exposure across operations, logistics, and finance, and real room to grow as you take on more. Receive purchase orders, enter them into our systems, and track them through fulfillment. EDI transactions. Manage POs, acknowledgements, advance ship notices, and invoices for our retail partners. Flag and resolve transmission errors. International shipping. Prepare invoices, packing lists, bills of lading, and ocean‑freight documentation. Coordinate with freight forwarders, carriers, and customs brokers to keep shipments on schedule. Overseas coordination. Exchange information with our manufacturing and quality‑control partners abroad. Time‑zone awareness required — some early‑morning or late‑day messaging. Bookkeeping in QuickBooks. Enter AP and AR, send customer invoices, and assist with reconciliations and month‑end tasks. Systems and documentation. As you learn each workflow, build clean, repeatable processes so the business runs on systems, not memory. The office. Keep records organized and pitch in on scheduling and special projects as the company grows. What Success Looks Like Orders, shipping, and EDI running smoothly, with fewer errors and less back‑and‑forth. The everyday workflows well organized and documented, so nothing depends on a single person’s memory. Enough taken off the COO’s plate that he can focus on bigger priorities. You a reliable, go‑to part of the team that keeps operations running. Who You Are 1–3 years in an office, operations, logistics, or administrative role. Deeply organized with a real eye for detail. You catch typos, mismatched numbers, and missing information before anyone else does. Comfortable with QuickBooks, or a fast learner with basic accounting fundamentals (debits/credits, AP/AR). Comfortable using AI tools to work more efficiently, improve processes, organize information, and solve day‑to‑day operational problems, with an eagerness to identify new ways AI can strengthen the business. Solid Excel skills and the ability to pick up new software quickly. A clear, professional communicator. You’ll email customers, vendors, and overseas partners daily. Reliable and accountable. You follow through, hit deadlines, and ask questions when something isn’t clear. Resourceful and eager to learn, comfortable pitching in wherever needed in a small, close‑knit team. Helpful but Not Required Exposure to shipping, freight forwarding, EDI, or supply chain processes. Retail vendor compliance experience (routing guides, ASNs, chargebacks).
