Administrative And Operations Coordinator

Job Description

Provides administrative and operational support to both the Membership and Events teams, splitting time between the two functions. Assists with event preparations and onsite event support while also supporting membership activities. Helps ensure smooth day-to-day membership operations and contributes to a positive experience for members, event attendees, and stakeholders.

Events Support

• Work with the Director of Events to organize, maintain, and manage event inventory and storage
• Support event-related purchasing, invoices, expense reports, and other administrative processes
• Assist with coordinating event logistics, materials, supplies, and equipment
• Assist with maintaining event documentation
• Provide administrative and operational support to the Director of Events and Events team
• Provide onsite support for events, including setup, guest services, registration, and event breakdown
• Support communication and coordination with internal partners, vendors, campus stakeholders, and other event partners
• Provide general administrative support and assist with special projects related to events and Association priorities

Membership Support

• Assist with in-person events/tabling when needed
• Assist with membership stewardship efforts as needed
• Manage and organize membership inventory in the storage room
• Assist with running reports in SalesForce for membership fulfillment
• Identify/research premium ideas and benchmarking peer schools

Required Qualifications

• A high school diploma and 3 years of experience or equivalent combination of education and experience is required.
• Ability to move equipment and supplies up to 25 pounds.
• Strong organization and attention to detail. Ability to manage several priorities.
• Ability to utilize Google suite including mail, sheets, docs, slides, chat, etc.
• Team player and a strong attitude for collaboration
• Excellent written and verbal communication skills
• Ability to work effectively with leaders and colleagues in a multicultural and diverse environment.

Modes Of Work

This position is mostly onsite, but will have some opportunity to work remote.
