Position Overview

We are seeking an experienced Lease Administrator to support the administration and financial management of a large commercial real estate portfolio. This role will be responsible for reviewing and abstracting lease documents, maintaining critical lease data and dates, processing rent-related information, reviewing landlord reconciliations, and ensuring lease obligations are accurately reflected within internal systems.

Key Responsibilities

• Review, interpret, and abstract commercial real estate documents, including leases, amendments, renewals, and subleases.
• Enter and maintain accurate lease information within lease administration systems and databases.
• Track critical lease dates, financial obligations, renewals, escalations, and other contractual requirements.
• Perform rent analysis and support accurate and timely rent payment processing.
• Review landlord invoices and supporting documentation for accuracy and compliance with lease terms.
• Review annual landlord reconciliation statements, CAM charges, operating expenses, and real estate tax calculations.
• Identify discrepancies and assist with reconciliation audits and resolution of billing issues.
• Manage communication with landlords and vendors regarding rent, invoices, documentation, and other landlord/tenant matters.
• Maintain organized and accurate electronic lease records and supporting documentation.
• Monitor and respond to requests received through the centralized lease administration mailbox.
• Partner with internal business teams to research and resolve lease-related questions.
• Maintain a high level of data integrity and accuracy across the commercial real estate portfolio.
• Manage multiple priorities and deadlines in a high-volume environment.

Qualifications

• 4+ years of commercial real estate lease administration experience.
• Strong knowledge of commercial lease terminology, critical dates, rent schedules, and invoice review.
• Demonstrated ability to read, interpret, and abstract complex commercial lease language.
• Experience working with CAM, NNN/triple-net leases, rent escalations, reconciliations, and real estate taxes.
• Strong mathematical and accounting skills with experience reviewing lease-related financial information.
• Experience with lease administration or real estate systems such as Yardi, Tango, Visual Lease, CoStar, or similar platforms strongly preferred.
• Proficiency in Microsoft Excel, Word, and Outlook.
• Exceptional attention to detail and commitment to data accuracy.
• Strong organizational and time-management skills with the ability to prioritize a high-volume workload.
• Excellent written and verbal communication skills for working with landlords, vendors, and internal business partners.
