Administrative Assistant

Job Title

Shift and Time: 8:00 am - 5:00 pm, Monday through Friday

Job Summary

• Coordinate job setup, invoicing, and job costing processes
• Ensure accurate tax coding is applied to all jobs and related activities
• Prepare, update, and manage material and purchase orders
• Maintain accurate invoice coding and assist with approval workflows
• Provide administrative support through reporting, contract review, and proposal preparation
• Offer cross-functional support across multiple company entities
• Assist with inbound calls from current and prospective customers
• Manage physical documentation, including creating and organizing job folders
• Support various administrative functions and internal processes as needed
• Contribute to special projects and additional initiatives as assigned
• Perform other duties and responsibilities directed by the Construction Manager

Qualifications, Knowledge, Skills, and Abilities

BS or AAS degree in Business Administration, Accounting, Finance, or a related field from an accredited college is desired, but years of pertinent experience will also be considered. Experience with construction ERP systems, including Vista, is a plus.

Experience and Skills Required

• Working knowledge of construction processes • Strong technology and computer skills • Working knowledge of ERP systems and computer networks • Organizational abilities to track multiple deadlines and reporting requirements • Self-motivation and a desire to continually improve • Ability to communicate effectively, both orally and in writing, with strong public relations skills • Ability to establish and maintain effective working relationships with others
