Client Service Coordinator

Job Purpose The Client Service Coordinator ("CSC") drives the flow of clients and pets through the hospital, maximizes the productivity of the veterinary medical team, ensures good communication with associates and clients, and coordinates care in a welcoming and efficient manner to influence client return and referral. Responsibilities Live and exemplify the Five Principles of Mars, Inc. within self and team. Actively recruit new clients by promoting hospital services and routing the flow of clients and pets to ensure superior client care and maximum productivity of the veterinary medical team. Maximize the number of pets seen by the hospital team through a productive and efficiently run hospital to support the needs of our wellness plan clients. Provide professional, efficient and exceptional service at all times, including encouraging hospital visits, welcoming clients and pets, ensuring their comfort, and educating them about pet health. Educate clients about Optimum Wellness Plans, preventative care, pet health needs and hospital services. Assist incoming clients by completing required documentation, entering all pet information and history in the computer, utilizing proper collars and tags for identification, and ensuring prompt service. Assist outgoing clients by providing all necessary instructions, information and invoices, dispensing prescription items per the veterinarian's instructions, selling retail products and scheduling future appointments. Manage finances by maintaining accurate balances and utilizing proper opening and closing procedures. Conduct administrative functions as necessary. Other job duties as assigned. Qualifications & Capabilities Ability to multi‑task and shift attention among multiple tasks without loss of accuracy. Strong written and verbal communication skills in fluent English. Organizational ability to manage assignments systematically and bring order to chaos. Problem‑solving skills: identify, analyze and solve problems, translate them into practical solutions. Consistent client service skills, ensuring attentive, courteous, and informative service. Intellectual ability to follow instructions and provide directions. Mathematical ability to add, subtract, multiply, divide, compute rate, ratio and percent, and convert units of measurement. Computer skills: comfortable using Microsoft Word, Excel, Access, Outlook and specialized software. Initiative, integrity, cooperativeness, flexibility, independence, tolerance for stress, and resilience. Minimum educational requirement: high school diploma or equivalent. Preferred: one year related experience with customer service or medical terminology training. Must be at least 18 years old to perform duties involving radiography or radioactive substances. Working Conditions Ability to work at a computer for long periods, around pets (dogs, cats, birds, reptiles, etc.), and in a moderately high noise environment. May require more than 40 hours per week, including weekends and evenings. Must stand, walk, stoop, kneel, crouch, climb and lift up to 50 pounds; good hand‑eye coordination and visual acuity required.
