Billing Specialist
The Billing Specialist is responsible for ensuring all services are accurately invoiced and delivered to clients in a timely and efficient manner. This role requires strong attention to detail, the ability to manage high-volume invoicing, and direct communication with clients to resolve discrepancies.
Principal Duties & Responsibilities:
- Manage and generate all invoices and credit memos accurately and on time
- Utilize scheduling portals to locate missing or delayed purchase orders (POs)
- Follow up with clients directly regarding missing POs and document all communication in SAGE
- Set up and maintain client information, inventory codes, and pricing schedules in the system and manual pricing book
- Ensure proper application of sales tax on all invoices
- Deliver invoices to clients per their preferred method
- Maintain and distribute sales tracking reports to management
- Communicate with clients to resolve billing issues, including pricing discrepancies and payment inquiries
- Provide invoicing support to other offices as needed
- Assist with name change requests related to invoicing when required
Qualifications & Skills:
- Strong attention to detail and organizational skills
- Previous ERP invoicing experience preferred
- Ability to work independently and problem-solve effectively
- Comfortable handling high-volume invoicing (60+ invoices daily)
- Strong communication skills and customer service mindset
