Vote Forward is affiliated with Swing Left.Job SummaryWe're looking for a Senior Operations Manager to support the HR and finance work that keeps our organization running effectively. This person manages processes and programs across the employee lifecycle and keeps our records and reporting clear and organized to ensure our team has the resources and support needed to stay focused and effective in advancing our mission.This role reports to the Director of People Operations. It is a cycle position with an expected end date of January 29, 2027 and the possibility of extension.Responsibilities include:Manage hiring, onboarding, and offboarding logistics and executionHelp administer performance review cycles, engagement surveys, and staff trainingHelp develop and maintain systems and processes that support the people functionSupport initiatives that strengthen team culture and effectivenessManage the operational and logistical side of benefits administration (health benefits, stipends, 401k), including enrollment logistics for new hires and open enrollmentHelp develop, implement, and manage HR policies and programs in compliance with federal and multi-state employment laws and internal policies, updating systems and documentation as neededHelp keep shared internal resources organized and up to date (e.g., Slack channels, shared drives, internal wikis)Support the operations team in managing financial processes, vendor relationships, and day-to-day organizational administrationManage invoice tracking and processing, and maintain accurate vendor and contract recordsSupport expense and reimbursement tracking and processing in partnership with accounting and the Head of OperationsMaintain budget trackers, forecasts, and reports; model budget scenarios and help answer questions to ensure leadership has fast, reliable access to budget information for decision-makingSupport the intake, tracking, and follow up for legal reviews in partnership with counsel and the Head of OperationsManage contractor onboarding, including documentation collection and data entrySupport the implementation and management of IT/cybersecurity initiativesHelp coordinate logistics for in-person team meetings, including venue, travel, vendor, and agenda coordinationHelp maintain and follow internal operational procedures and documentation, flagging improvement opportunitiesTrack deadlines for recurring reporting and internal processesRequirementsA strong interest in and alignment with the distinct missions and values of Swing Left and Vote Forward4+ years of experience in Operations, including direct experience in HR functions such as onboarding/offboarding, benefits administration, compensation programs, and performance management, as well as experience supporting budget or financial reporting workStrong spreadsheet skills (e.g., pivot tables, formulas, financial modeling), with the ability to translate complex budget information into materials that are clear and easy for others to inform decision makingFamiliarity with tracking and managing work using project management software (e.g., Asana) in addition to day-to-day collaboration tools, including Google Suite, Zoom, and SlackFamiliarity with HRIS, ATS (application tracking system), benefits administration platforms, and expense/invoicing systemsExcellent organizational skills and attention to detail, with experience managing multiple processes and deadlines simultaneouslyStrong written and verbal communication skillsStrong interpersonal skills, with the ability to build trust across the organization, communicate with empathy, and exercise sound judgment in sensitive situationsExperience handling sensitive or confidential information with discretionDemonstrated ability to work independent and collaborate with colleagues effectively in a remote office environmentA commitment to equity and belonging across all identities, and ability to learn and grow in this spaceLogisticsNote: This is a cycle position with an expected end date of January 29, 2027 and the possibility of extension.Hiring Process:Applications will be reviewed on a rolling basisThe priority deadline to apply is August 5, but applications will be accepted until the posting is closedWe are aiming for a start date as soon as possibleWe will communicate about our expected timeline as the process progresses, and all candidates will receive communication from our team regarding their application statusCompensation:The pay range for this position is $91,000 - $102,000/yearBenefits for Full-Time Employees:Medical, dental, and vision insurance: 100% of the premium paid for employees and 50% for dependentsHealth and dependent care FSA accountsEmployer-paid life and disability insuranceRetirement planProfessional development and remote work stipendsFlexible vacation and sick leave policies with limitations on extended vacations during the period between Labor Day and Election DayOur office is closed for approximately 25 business days each year, including two weeks at the end of the yearLocation and Working Hours:This position is a full-time, exempt, and remote position based in the United States.
