General Position Summary

Oversee the daily operations of a designated property or properties, including leasing and marketing, resident relations, rent collection, maintenance coordination, compliance, and reporting. 

Primary Responsibilities

Leasing & Resident Relations

• Greet and tour prospective residents; understand their needs and match them to suitable units
• Communicate property features, floor plans, and amenities effectively
• Process applications, prepare lease agreements, and complete move-in documentation
• Ensure timely, professional responses to resident concerns and service requests
• Promote resident retention by planning community engagement activities
• Complete guest cards and conduct follow-up communication with prospects
• Conduct daily property inspections, including amenities and vacant units

Financial Management

• Work within the approved annual budget
• Collect, record, and deposit rental payments accurately
• Track and follow up on late rent; issue notices and initiate eviction proceedings with corporate approval
• Manage petty cash, reconciliation, and monthly reporting to accounting
• Accurately submit all time worked into HRIS daily
• Prepare weekly and monthly reports on time

Maintenance Oversight

• Schedule and follow up on resident work orders; ensure completion and quality control.
• Coordinate with vendors for routine and emergency maintenance
• Perform or assign minor maintenance and cleanliness tasks when needed
• Ensure curb appeal, general upkeep, and landscaping standards are met
• Respond to after-hours emergencies as needed

Administrative & Compliance

• Maintain professional communication with residents, vendors, and staff
• Communicate updates with Portfolio Manager regularly
• Monitor local rental market trends
• Assist with marketing strategies and campaigns
• Ensure adherence to fair housing and landlord/tenant laws, including City of Portland regulations (if applicable)

Secondary Responsibilities

• Participate in resident events
• Drive to run work-related errands (valid license and insurance required)
• Perform light groundskeeping and janitorial tasks when needed
• Operate landscape and janitorial tools safely (as applicable)

• Assist in turnover cleaning and unit prep, including windows and fixtures

Supervisory Responsibilities

Supervise 1 to 7 employees, including leasing and/or maintenance personnel

Skills and Qualifications

Technical Skills

• Proficiency with Microsoft Office 365 and office equipment
• Basic bookkeeping and financial reporting
• Familiarity with property management software (e.g., AppFolio, Yardi)
• General maintenance and landscape knowledge (as applicable)
• Understanding of landlord/tenant laws, fair housing, and local housing regulations

Soft Skills

• Strong verbal and written communication
• Excellent customer service and interpersonal skills
• Ability to prioritize, multitask, and work independently
• Strong problem-solving and critical thinking abilities
• Professional demeanor and conflict resolution skills

Experience and Education

• High School diploma or equivalent required
• At least one (1) year of property management experience required
• Prior customer service experience preferred
• Basic math skills and familiarity with leasing and compliance practices

Work Environment & Physical Demands

• May involve moderate hazards including outdoor work, weather exposure, and light maintenance
• Regular standing, walking, bending, climbing stairs, and occasional lifting (up to 50 lbs)
• Use of hand tools, ladders (up to 6 ft), and janitorial/maintenance equipment as needed
• Must be available for occasional evenings, weekends, holidays, and on-call emergencies

Worksite Facilities Notice

The assigned worksite(s) do not have restroom facilities available on the premises, unless there is a vacant unit. Employees are allowed to use Petty Cash to access restroom facilities at a nearby gas station or may leave the property briefly as needed, to use the appropriate facilities.  Additional details given to final candidates or as requested during initial interview.

Additional Site Information

• This position oversees The Shadows (22 units) & Hilltop Manor (26 units).
• This position requires the manager to be onsite at The Shadows for a minimum of 3 hours per day. Schedule is flexible with hybrid/remote option.
