Front Office & Client Interaction

• Greet and assist walk-in clients in a professional and friendly manner
• Answer and direct incoming phone calls promptly and accurately
• Respond to general inquiries or route complex questions to appropriate team members
• Maintain a clean, organized, and welcoming reception area

Administrative Support

• Process incoming and outgoing mail, packages, and deliveries
• Scan, upload, and organize documents into the agency management system
• Assist with data entry, filing, and recordkeeping
• Support producers and account managers with administrative tasks
• Policy & Insurance Support Functions
• Provide support in accounting processes within office

Policy & Insurance Support Functions

• Assist clients with simple requests such as payment information, contact updates, and document retrieval
• Forward claims notices and service requests to appropriate team members promptly
• Help ensure timely follow-up on client inquiries

Scheduling & Coordination

• Maintain calendars and conference room scheduling
• Coordinate meetings, including preparing materials as needed

Compliance & Professional Standards

• Maintain confidentiality of client and agency information
• Follow agency workflows, procedures, and documentation standards
• Represent the agency with professionalism at all times
• Duties may evolve based on agency needs and staffing structure
• This position plays a key role in client retention and service quality
