Senior Marketing Coordinator

Licensure/Certification Required: Not required. Experience Required: 5+ years of progressive experience in marketing and business development, ideally within the AEC industry or a similar professional services firm. Reports To: Director of Marketing. Core competencies and requirements: Excellent written and verbal communication skills. Proficiency in Marketing software and tools (Adobe Creative Suite) and MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams). Attention to detail and a results-oriented approach. Follows firm standards and guidelines. Excellent understanding of social media platforms and engagement strategies. Completes time records and expense reports in a timely manner. Ability to work independently and as part of a team. Represent the company at industry events, conferences, and networking opportunities. Excellent multi-tasking abilities. Ability to thrive in deadline-driven environment. Job Responsibilities and Tasks: Support the preparation of proposals, qualifications packages (RFQs), and RFP responses, ensuring clarity, coherence, and accuracy; draft materials for review and approval by leadership. Support the maintenance and organization of marketing collateral, including project sheets, resumes, brochures, etc., using design software such as Adobe InDesign. Contribute to strengthening the firm’s branding standards. Maintain a proposal calendar to aid in maintaining deadlines. Track and monitor proposal efforts and activities to ensure timely delivery. May supervise and direct work of junior Marketing Coordinators. Help prepare PowerPoint presentations for interviews and other public speaking opportunities unrelated to proposals. Collaborate with team members to coordinate marketing efforts for networking events and industry conferences. Provide (or supervise Marketing Coordinator in providing) updates to the firm’s website and coordinate the firm’s social media presence, including content creation to enhance visibility and engagement. Undertake special projects, such as award submissions and social events, as requested by the Director of Marketing or the Principals. Coordinate conferences (prepare and ship marketing materials, displays, etc.) and other important gatherings. Attend pre-proposal meetings, conferences, and social events outside of the office as required. Organize and maintain a project database, digital marketing assets, and project documentation to ensure accessibility and compliance with branding standards. Other duties as assigned. Physical Requirements: Ability to sit for extended periods of time. Ability to operate office equipment, but not limited to computers, printers, phones.
